Production Coordinator (Events)

Role Description We’re looking for a full time Production Coordinator (Events) to join our team in Rochester, NY. This individual will be responsible for coordinating event production logistics, managing timelines, supporting project management tasks, and ensuring the smooth execution of events. The role requires clear communication with internal teams and external vendors, while maintaining strong organizational practices to manage multiple projects efficiently and effectively. Beyond the fundamental skills listed below, Inkling looks for Coordinators who excel in critical thinking, analytical skills and communication with both internal and external teams. Qualifications Be responsible for excellence in day-to-day aspects of production including sourcing vendors, building detailed project schedules, researching and securing production resources, quality controlling all deliverables, maintaining project documentation and communication with project teams Coordinate onsite event logistics including venue communications, vendor management, transportation and overall production schedules Organize and maintain production inventory and electronic files within project folders Collaborate with project Producers to execute on project plans, pre-production and onsite execution Take personal accountability for on-time project deliverables Be able to work independently, sometimes on concurrent projects, while ensuring projects run seamlessly, on time and on budget while meeting or exceeding client and creative objectives Be able to research, source and select production vendors that best fit project needs, scope, timelines and provide Inkling expected quality of service Represent and grow relationships through Inkling’s standard of excellence with the external production industry Champion collaborative creative development processes; good ideas win here - no matter where they come from This Role Requires Work in-person from our Rochester office 3 days a week, Tues-Thurs as ideal in-person days 2+ years professional experience working in event management or production environments Excellent oral, written and presentation communication skills with the ability to communicate with all levels of employees Positive-minded problem-solving and negotiation skills required Able to apply critical and strategic thinking Ability to work under pressure and meet deadlines in a fast-paced creative environment Ability to collaborate with internal teams and external clients and vendors at a variety of levels and across functions Ability to self-manage and work remotely with video calls and collaborative tools Flexibility and interest to travel to on-site projects and client events Vetted background check provided by 3rd Party Agency Signed Non-Disclosure Agreement Preferred Credentials Bachelor’s degree in advertising, marketing, production or similar discipline On-site experience providing creative solutions to unexpected problems The Perks 100% company provided medical, dental and vision insurance 20 days paid time off per calendar year 401k with Company Match Program Encouraged support of passion projects and experiments Inkling welcomes diversity of race, gender, sexual orientation, disabilities and all else, as we strive to create an equitable and inclusive environment for all. #J-18808-Ljbffr Inkling
