Program Assistant
The Program Assistant will be responsible for supporting the day-to-day needs of the Global Engineering & Automation department for smooth operations, including but not limited to scheduling and organization, technical document management, systems administration, data entry, reporting and bookkeeping, and department-level and intercompany communication.
Primary Job Accountabilities/Responsibilities:
- Administrative support, including data entry, preparing standard reports, consolidating and prepping presentations, and basic budgeting
- Prepare, edit, and proofread technical documents, proposals, reports, presentations, system work instructions, and other written materials
- Maintain and improve team Sharepoint site and Asana
- Support financial reconciliation of capital expenditures and labor
- Manage work order intake and completion, including definition of technical responsibilities from SMEs, proposal creation, and light project management
- Support system deployments
- Serve as the primary administrative contact for office-related inquiries
- Maintains routine correspondence with the team
- Maintains and orders office-related supplies
- Support new employee onboarding, basic IT requests, and basic IT-supplies set up (monitors, docking station)
- Coordinates and manages onsite visitors as the primary contact
- Coordinates travel and logistics for the team as needed
- Lead event planning and other employee activities
- Performs other duties as required
Financial Responsibility:
Basic budget tracking and financial reconciliation
Qualifications/Requirements:
Basic Qualifications Required - Experience, Skills, and Knowledge:
Education (List the minimum level of education required in order for someone to perform this job): GED or HS Diploma
Knowledge and Skills:
- Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
- Excellent communication and collaboration skills
- Team-oriented and positive attitude
- Ability to handle confidential information responsibly
- Ability to multitask and adapt to changing needs
- Strong organizational skills
Previous Experience:
- 1 year administrative support or other relevant experience required
- Customer service experience is a plus
Environment/Physical Demands: This position requires incumbents to regularly sit at a desk and operate standard office equipment such as a computer and phone. Employee is occasionally required to stand and walk, lift, carry and/or move up to 10 pounds. Specific vision abilities required by this job include close vision and the ability to adjust focus. Must be able to talk and hear. Required to use hands to finger, handle, or feel objects, tools or controls. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Travel: Up to 20% travel

Pay Range: $49,300.00 - $81,300.00
