Fire Prevention Inspector - Fixed Term Benefited

Job Summary NOTE: The eligibility list established for this position will be used to fill several temporary positions within the Community and Cultural Services Department, Community Programs Division – Annenberg Community Beach House. Shifts are generally 8 to 9 hour days, several days per week, including evenings and weekends. Performs a wide variety of functions associated with guest service administration and operations at the Annenberg Community Beach House or other venue, including basic clerical and accounting duties, public information distribution, daily facility operation, guest relations and staff support. Responsibilities Implement guest service standards and ensure delivery of a high level of customer service to guests in person, over the phone and by email. Coordinate and monitor guest reservations and check‑in process. Distribute parking permits. Manage access to entrance and keep records of attendance. Process registrations and collect fees. Readies and makes deposits to the Revenue Division for Beach House activities and functions. Maintain financial program records and files. Receive, record and resolve guest complaints. Assist guests in resolving disputes and discrepancies. Monitor the property assisting guests and providing interpretive information. Provide staff support for recreational programs and activities at the Beach. Assist with creating flyers and outreach materials. Update day use activity schedules. Maintain recreational and cultural event mailing and email lists and assist with marketing and mass mailings. Review, sort and distribute mail and respond to routine email and correspondence. May serve as back‑up to the Guest Services Coordinator in his/her absence. Provide routine clerical support for supervisory and administrative staff. Perform other related duties as assigned. Requirements Knowledge Effective guest relations and conflict resolution techniques. Record keeping, accounting and cash handling techniques. Modern office procedures, practices and equipment. Business English, spelling, punctuation and grammar. Basic mathematics. Ability To Provide effective customer service. Communicate effectively both orally and in writing. Follow written and oral instructions. Establish and maintain cooperative and effective working relationships with City employees and the general public. Respond to public inquiries, complaints and requests in a tactful and effective manner. Set‑up and maintain office files for electronic and hard copy documents. Operate a variety of office equipment. Perform basic mathematical computations. Use independent judgment and initiative. Learn and use applicable software applications. Skill In Working effectively with persons from diverse social, cultural and economic backgrounds. Reading, writing and communicating in English at an effective level. Working with personal computers and applicable software applications including the Microsoft Windows operating system, Microsoft Word and Excel. Education, Training, And Experience Graduation from high school or the equivalent. One year of recent, paid customer service or guest relations work experience which include cash handling and working with various computer software applications. Supplemental Information This is a temporary hourly position without benefits. The City of Santa Monica provides a deferred compensation (457) retirement plan for its as‑needed (temporary) employees who are not eligible for coverage under the California Public Employees Retirement System (CalPERS). The City and as‑needed employee are each required to contribute 3.75% of wages to the deferred compensation plan. As‑needed employee contributions will be deducted from paychecks on a pre‑tax basis. Testing may consist of any or all of the following components: Interview: to evaluate education, training and experience; technical knowledge; communication skills; and interpersonal skills. All employees of the City of Santa Monica are designated by both State and City ordinance to be “Disaster Service Workers.” In the event of a declared emergency or any undeclared emergency or natural disaster that threatens the life, health and/or safety of the public, employees may be assigned to assist rescue and relief workers. Such assignments may be in locations, during hours and performing work significantly different from the employees’ normal work assignments and may continue through the recovery phrase of the emergency.
