FIRSTHEALTH OF THE CAROLINAS Position Description Title: Clinic Manager Department: Primary Care Clinics Facility: Clinic Settings Classification: Exempt Relationships: Immediate supervisor: Regional Director Positions Supervised: Clinic Staff Directs and Delegates: Daily operations and activities Qualifications: Education/Training: Prefer BS Degree in Business, Accounting, Finance, Healthcare Administration, Applied Science or equivalent. Minimum of three years’ experience in physician practice including supervisory responsibilities. Additional Skills: Financial and analytical skills; excellent verbal and written communication; customer service orientation; extensive knowledge of insurance rules (reimbursement, third‑party payers, pre‑certification, ICD‑10, CPT coding); ability to lead and maintain confidentiality of medical, financial, and staff information; multitasking and organizational proficiency; knowledge of medical software systems; strong people skills; strong customer service sense. Working Conditions: Office environment with minimal exposure to communicable diseases; frequent interruptions, multiple deadlines, fast‑paced work. Physical Requirements: Ability to access all areas of the facility, sit for long periods, visual and hearing acuity, travel to facilities other than main campus. Age Groups Served (Clinic Specific): Infant / Neonate School‑age Middle Adult Toddler Adolescent Older Adult Preschool Young Adult Responsibilities Staff education, audits, and pre and post testing applicable to the clinic. Manage assigned work queues and in‑baskets in Epic; monitor errors and provide staff education as needed. Collaborate with Central Billing Office regarding accounts, outstanding balances, and financial planning. Monitor all operational processes; identify negative trends and quality care issues; implement corrective actions and follow‑up. Utilize PDCA where appropriate. Monitor and coordinate accurate collection of co‑pays and over‑the‑counter payments; perform end‑of‑day balancing and deposit functions, ensuring compliance. Facilitate clinic growth through efficiencies, reduce wait times, and minimize no‑shows. 2. Provides services with consideration of the recipient’s needs Maintain a safe, comfortable, and effective facility environment. Work with physicians and APPs to ensure appropriate resources and systems for patient care, considering psychosocial, spiritual, cultural, and developmental factors. Collaborate with FH to provide culturally supportive resources and materials for patients in rural areas. Assist administration in monitoring patient satisfaction; identify and implement programs to enhance patient experience. Coordinate patient appointment schedules, no‑shows, satisfaction surveys, and all patient flow tasks, promoting access wherever possible. Promote quality staff interaction at all levels, impacting patients, providers, and internal/external stakeholders. Demonstrate sensitivity to staff needs, including psychosocial, spiritual, cultural, and educational development. 3. Use equipment/supplies correctly Ensure equipment is maintained in good condition. Maintain adequate inventory of supplies and forms; coordinate ordering to keep minimum stock levels and control costs. Monitor compliance with safety regulations; maintain logs and checklists for lab, x‑ray, and clinical areas. Support computer and system management programs utilized by the clinic; collaborate with FH IT support as needed. Utilize Bio‑Med support where appropriate to ensure equipment safety. Apply OSHA principles and guidelines; maximize use of FH Infection Control resources. 4. Uses appropriate safety and infection control measures Monitor safety and infection control measures; establish systems to ensure compliance. Ensure patient safety by following FirstHealth patient safety goals applicable to the clinic. Encourage staff participation in CBL and Net Learning for applicable patient safety goals. Document and report safety occurrences; notify appropriate departments and implement corrective actions. Maintain current infection control and safety reference materials on site or online. Coordinate annual safety and OSHA inspections with FHC departments. Apply OSHA principles and guidelines; maximize FH Infection Control resources. 5. Communicates accurate and timely information Plan and facilitate provider and staff meetings. Enhance verbal and written communication skills. Maintain physician, APP, and staff call and work schedules in a timely manner to encourage communication. Follow FHC policy to promote ongoing education and skill training for all clinic staff. Coordinate staff training and continuing education reports; perform performance evaluations of immediate staff per FHC HR protocols. Ensure appropriate staffing patterns, support crisis training, and maintain quality clinic operations with short staffing. 6. Reports/records information appropriately Prepare and submit daily, weekly, and monthly statistical and accounting reports as required. Provide special project monitoring and reports. Maintain minutes of all meetings; distribute to administration or make available as requested. Monitor employee payroll via ADP; maintain edit logs and communicate overtime and payroll issues. Maintain HR payroll compliance. Implement Electronic Medical Records, collaborating with IS and administration to support patient care and HIMS/HIPAA compliance. Apply Epic updates promptly, improving production and patient convenience through pharmacy access and medication reconciliation.
