Position Summary
Our client is seeking a field-focused Property Management Inspection Coordinator to serve as the eyes and ears of the Property Management team across our portfolio. The role combines disciplined inspection and documentation with practical judgment, adaptability, and independent field problem-solving. This is not a checklist-only inspection role. The right person must be able to enter an unfamiliar situation, determine what matters now, adjust priorities, act within their authority, escalate when needed, and keep the issue moving without waiting for step-by-step direction.The Inspection Coordinator bridges what is happening at the property with what the office, owner, resident, vendor, and Property Manager need to know and do next. Consistent documentation remains essential, but speed, prioritization, sound field judgment, and closing the loop are equally important.
Primary Objective
Provide reliable field intelligence and action-oriented follow-through so property conditions, vacancies, maintenance needs, compliance issues, and safety concerns are identified early, prioritized correctly, communicated clearly, and moved toward resolution.
Core Responsibilities
Property Inspections and Field Assessment

• Conduct move-in, move-out, vacant-unit, routine, and special-purpose property inspections.
• Assess property condition and identify damage, safety concerns, violations, deferred maintenance, cleanliness, security, and readiness issues.
• Complete clear inspection reports using photos, concise notes, and factual condition documentation.
• Distinguish routine findings from urgent conditions and identify what requires immediate action, same-day communication, scheduled follow-up, or monitoring.
• Look beyond the checklist when field conditions indicate a related problem, risk, or next step that should be investigated.

• Adjust the day as conditions change, including emergencies, vendor delays, municipal issues, changing move-in or move-out timelines, and competing property priorities.
• Use practical judgment to determine what can be handled independently, what needs confirmation, and what must be escalated immediately.
• Gather enough information to make a timely recommendation without over-analyzing routine situations or waiting for perfect information.
• Resolve straightforward field issues within established authority and company standards without requiring step-by-step direction.
• Manage multiple properties, inspections, follow-ups, and interruptions while keeping urgent safety, security, compliance, and vacancy matters at the top of the list.

• Monitor vacant units for condition, security, cleanliness, utility concerns, and turn readiness.
• Identify issues early that could delay leasing, move-in, maintenance completion, or municipal approval.
• Coordinate findings with Property Managers, Maintenance, vendors, and other responsible parties and confirm that required follow-up occurs.
• Support move-out condition documentation, security-deposit decisions, resident accountability, and owner communication with accurate field information.

• Support municipal inspections, violation tracking, re-inspections, registrations, and related compliance requirements.
• Recognize habitability, life-safety, security, water intrusion, active damage, and code-related concerns and escalate them promptly.
• Track deadlines and verify completion rather than assuming an issue is resolved once it has been assigned.

• Communicate findings in a concise, useful format: what was observed, why it matters, recommended next step, owner of the next action, and timing.
• Maintain direct, professional communication with Property Managers, Maintenance, vendors, residents, owners, municipal representatives, and leadership as appropriate.
• Be willing to raise concerns, ask direct questions, and hold the line on safety, compliance, condition, and documentation standards even when the conversation is uncomfortable.
• Escalate unusual, high-risk, expensive, or authority-sensitive issues without unnecessarily escalating routine field decisions.

• Log inspection results, photos, notes, tasks, recommendations, and follow-up in Buildium or other approved systems promptly.
• Maintain records that are clear enough for another team member to understand the property status and step in when necessary.
• Use standardized checklists and templates without allowing the process to replace observation, judgment, or common sense.
• Complete documentation to the level required for the inspection type and move on; accuracy matters, but perfection cannot delay action.

• Review available owner and account information before recommending or initiating non-emergency work when appropriate.
• Understand and apply relevant account tags, funding limitations, approval requirements, and portfolio considerations.
• Balance urgency, property risk, owner communication, and financial responsibility when recommending next steps.

• Authorized to conduct inspections, document findings, communicate routine results, and recommend repairs, compliance actions, follow-up, and escalation.
• Expected to make routine field decisions within established company standards and assigned authority.
• Expected to immediately escalate safety, security, active damage, significant compliance, material financial, or unusual resident/owner situations.
• Not authorized to make legal determinations, commit company or owner funds outside established authority, or create commitments that have not been approved.

• Demonstrated experience in property management, residential maintenance, inspections, construction, facilities, field service, quality assurance, or a comparable role requiring independent field judgment.
• Practical working knowledge of residential property condition, common maintenance issues, safety concerns, and inspection fundamentals.
• Demonstrated ability to prioritize changing field demands and make timely decisions without complete step-by-step instructions.
• Strong written, verbal, and photo-based communication skills.
• Consistent documentation and follow-through habits.
• Comfort using software, mobile apps, photos, checklists, task systems, and digital documentation tools.
• Valid driver's license and reliable transportation.

• Can pivot quickly when the field changes without losing organization or follow-through.
• Uses experience, facts, common sense, and company standards to make practical decisions.
• Communicates early rather than waiting until every detail is known.
• Takes ownership of the full loop: observe, assess, act or escalate, document, follow through, and confirm completion.
• Learns systems and standards quickly and becomes increasingly self-sufficient rather than remaining dependent on management direction.

• Inspection reports are clear, complete, timely, and useful to the next person taking action.
• Urgent property, safety, security, compliance, and vacancy issues are identified and escalated before they become larger problems.
• Routine field issues move forward without unnecessary management involvement.
• Property Managers and Maintenance receive accurate information, priorities, and next steps they can act on.
• Open findings are followed through to resolution or a clearly documented handoff.
• Leadership can rely on the Inspection Coordinator to make sound field judgments while knowing when to ask for help.
