Inventory Specialist II

The Inventory Specialist II position exists for the purpose of providing inventory support for the warehouse and clinical supply storerooms throughout Winona Health. They support daily warehouse operations and are accountable for accurate durable medical equipment (DME) supply and inventory records. They are responsible for making sure that supplies are available, organized, and distributed efficiently while proactively resolving inventory issues.

Essential Duties & Responsibilities:

• Accurately receives incoming supplies into the inventory management software, including documenting serial numbers when required.
• Resolve receipt discrepancies directly with the vendor.
• Perform routine cycle counts on warehouse inventory in both the Main and DME asset locations and investigates discrepancies and documents corrective actions taken.
• Identifies items at risk for expiration and applies outdate stickers upon receipt.
• Embeds continuous improvement processes into daily work to assure effective and efficient supply chain processes.
• Analyzes freight data and looks for cost saving opportunities.
• Resolves invoicing issues due to receipt errors and puts improvements in place to reduce this type of error.
• Runs a requisition backorder report daily and works with Supply Chain Analysts to resolve backorder issues.
• Performs monthly audits of warehouse inventory to identify items due to expire, pulls identified inventory, and documents on the community benefit tracker.
• Makes independent judgements and decisions based on analyzing and monitoring inventory levels.
• Perform receiving, stocking, picking, staging, replenishment, distribution, and interdepartmental inventory transfers.
• Maintain accurate DME and warehouse inventory records; track movement and reconcile physical inventory to system balances.
• Monitor stock levels and adjust par levels, ordering frequency, and inventory transactions to support supply availability.
• Use the ERP system to maintain inventory accuracy and support process or system improvements.
• Improve warehouse organization, space use, inventory accuracy, and efficiency; communicate shortages, delays, and recurring issues promptly.
• Provide professional service to internal customers and maintain a clean, safe, and organized warehouse and DME area.
• Champions at least 1 CSI improvement project per year and assists on other CSI projects.
• Provides leadership and coaching to Inventory Specialist I team members.
• Willingly helps others within the department on projects and day-to-day work.
• Effectively runs and understands reports with the MMIS system and uses the data to make process improvements.
• Knowledge in navigating and using MMIS, Excel, Word.
• Generates reports on receipts, backorders, freight spend, etc.
• Performs other duties as assigned.

Skills and Experience:

Required:

• High School Diploma or Equivalent
• Valid Driver's License
• 2 Years of experience in inventory, warehouse operations, supply chain, logistics, or a related field
• Strong organization, attention to detail, problem-solving, communication, and interpersonal skills
• Ability to obtain forklift operator certification
• Ability to lift up to 50 lbs.
• Basic Computer Skills: Word, Excel, Outlook, and willingness to learn new software systems
• Positive attitude and willingness to assist where needed

Preferred:

• Post-secondary education in a business-related field
• Experience with cycle counts, physical inventory, and reconciliation in a healthcare supply chain setting
• Experience managing DME or medical supply inventory
