The client is looking for a seasoned PM who can attend meetings 3x a week with 30 different stakeholders, drive project deliverables, and communicate clearly while maintaining project visibility for all. The team company is integrating electronic health records/behavioral health records (this is broad and can involve more specific deliverables as the integration continues to move forward).

Project Manager

Client is currently in the implementation phase of a large-scale healthcare operations project. The initiative involves integrating a third-party application, onboarding staff, developing new workflows, supporting HR training, and implementing clinical processes. The project will require coordination across multiple departments, including Clinical Operations, HR, IT, Procurement, and Direct Care Operations.

We are seeking a hands-on, execution-focused Project Manager who can take ownership of deliverables, drive accountability, and help ensure the implementation stays on track.

Key Responsibilities

• Drive project execution: Take ownership of deliverables and proactively move tasks forward to meet project milestones and deadlines.

• Manage deliverables and action items: Develop and maintain detailed tracking documents, monitor progress, identify outstanding items, and follow up with stakeholders to ensure completion.

• Facilitate meetings and communication: Participate in recurring project meetings, capture detailed meeting minutes, document status updates, and distribute notes following each meeting.

• Maintain project visibility: Provide clear, consistent updates on deliverables, timelines, outstanding actions, and potential roadblocks across all participating departments.

• Coordinate cross-functional stakeholders: Connect teams and departments to ensure alignment, resolve gaps, and keep dependencies moving forward.

• Drive accountability: Proactively follow up with stakeholders to obtain updates, reinforce commitments, and ensure deliverables are completed without unnecessary delays.

• Support implementation activities: Coordinate workstreams related to third-party application integration, staff onboarding, HR training, clinical processes, and new workflow implementation.

Required Background and Experience

• Healthcare provider experience is strongly preferred. Candidates should have experience working within health systems, provider organizations, or direct care operations rather than exclusively within a payer environment.

• Experience managing implementations involving healthcare service lines, clinical operations, or healthcare technology applications.

• Familiarity with healthcare terminology and the ability to communicate effectively with Clinical, HR, IT, Procurement, and operational stakeholders.

• Demonstrated experience tracking a high volume of deliverables and managing complex, cross-functional projects.

• Strong organizational skills, including meeting coordination, calendar management, meeting minutes, action-item tracking, and deadline follow-up.

• Excellent communication skills, with the confidence to speak up, facilitate discussions, and engage stakeholders at all levels.

• Advanced proficiency in Microsoft 365, particularly Excel for project tracking and reporting.

• Experience with PMO tools such as Planview or Microsoft Project is preferred but not required.

Project Documentation and Reporting Expectations

Detailed project tracking and communication will be critical to success. The Project Manager will be expected to maintain organized documentation that includes:

• Meeting minutes with dates and key discussion points.

• Deliverables, owners, due dates, and current status.

• Action items and outstanding follow-ups.

• Progress updates, dependencies, and potential roadblocks.

• Meeting recaps distributed to stakeholders following each session.

The project includes recurring meetings with large stakeholder groups, so candidates must be comfortable speaking up, facilitating discussions, and ensuring project updates and action items are clearly documented and communicated.
