Senior Freight Coordinator / Freight Specialist
Madison Approach
Job Description
Job Description
Freight Specialist, Safety Division
New Rochelle, NY • On-Site • Full-Time • $75,000–$80,000
About Our Client
A mid-sized manufacturer of products for the transportation industry. They are a family-founded, ISO 9001:2015 certified manufacturer headquartered in New Rochelle, NY. They are not a large corporation. They are a hands-on manufacturer where institutional knowledge runs deep, leadership is accessible, and the work you do is visible.
The Opportunity
We are hiring a Freight Specialist to take ownership of freight and logistics for the Safety Division - a role with real scope, spanning hands-on freight coordination, system ownership in SAP Business One, and a financial-gatekeeping function that keeps orders, payments, and shipments aligned. You will work in a small, close-knit office directly adjacent to our manufacturing warehouse, reporting to our Operations Manager, and you will be the person our warehouse team, our carriers, and our regional sales managers rely on to keep freight moving accurately and on time. This is a role for someone who has done this work for years, thinks in systems as much as shipments, and doesn't need to be managed closely to get it right.
What You'll Do
Own Freight Coordination
- Coordinate daily inbound and outbound freight shipments — LTL and FTL (including short shots, flatbeds, and closed vans), parcel, and specialized modes including rail, ocean container, and air freight as needed
- Schedule pickups and deliveries; communicate shipment requirements with carriers, warehouse staff, and internal stakeholders across shipments ranging from small parcels to multi-truckload projects
- Route shipments accurately based on service level, cost, transit time, and delivery requirements
- Monitor shipment progress and resolve issues — delays, exceptions, shortages, incorrect paperwork — quickly and professionally
Take Ownership of Logistics in SAP Business One
- Serve as the division's primary owner of freight and logistics data within SAP Business One, including pick-pack-delivery functions, keeping records accurate and current
- Prepare and verify shipping documentation: bills of lading, packing slips, shipment confirmations, and carrier labels, and maintain the customs documentation required across the countries we ship to
- Work with carriers and freight forwarders to obtain quotes, compare options, and resolve billing discrepancies
Keep Orders and Payments Aligned
- Proofread and verify orders before they reach the production floor
- Confirm customer payment status and account standing against order terms; place orders on hold and notify the appropriate internal contact when payment is unclear or a credit application is pending
- Generate freight quotes and proforma invoices, and coordinate with accounting to confirm payment before orders are released to production
Improve How Freight and Logistics Move
- Identify bottlenecks in the freight and order-fulfillment process and recommend practical improvements that reduce delays and errors
What You Bring
- 5–10 years coordinating freight and shipments in a warehouse, logistics, or manufacturing setting
- Strong working knowledge of LTL/FTL transportation methods; comfort with occasional rail, ocean, or air freight is a plus
- Hands-on experience with an ERP system (SAP Business One strongly preferred) for logistics, inventory, or order management
- A demonstrated ability to work independently with minimal supervision
- Comfort managing both the operational and financial sides of an order — you're as confident verifying payment terms as you are booking a carrier
- A calm, patient, customer-facing demeanor under pressure, paired with a genuine sense of urgency about keeping orders and cash flow moving
- Strong communication skills, and the judgment to ask for help before a backlog becomes a problem
- Detail orientation and the ability to manage multiple shipments and priorities at once
Preferred: experience in a manufacturing environment with SKU/order variety and tight fulfillment windows; experience resolving carrier billing discrepancies; familiarity with customs documentation for international shipments.
What We Offer
- $75,000–$80,000 annually, commensurate with experience
- Comprehensive benefits: health, dental, vision, 401(k)
- 100% on-site at our New Rochelle, NY headquarters
- A stable, 58-year-old manufacturer with ISO 9001:2015 certification and a strong regional reputation
