Summary

Assist the Accounting Department with completing timely and accurate daily billing, tasks, and customer account management, with a primary focus on TTL (Title, Tax, & License) invoicing and collections.

Duties and Responsibilities

To include, but are not limited to, the following:

  • Manage TTL invoicing and receivables, ensuring accuracy and timely processing
  • Contact customers to collect outstanding TTL invoices and account balances
  • Send monthly statements to customers with unpaid balances
  • Assist with accounts receivable and payable functions
  • Support bank reconciliation processes
  • Provide a high-quality customer service experience with all callers and visitors
  • Accurately input invoices, receipts, correspondence, and spreadsheets
  • Compile and sort documents (invoices, titles, checks) related to vehicle transactions
  • Review incoming documents for accuracy; identify discrepancies and request corrections
  • Perform general clerical duties, including filing, scanning, research, and data entry
  • Collaborate with internal team members while also working independently when needed

Qualification Requirements

  • Strong attention to detail with a high level of accuracy
  • Experience with Excel and invoicing processes
  • Ability to manage multiple tasks and follow through on collections
  • Comfortable communicating with customers regarding billing and payments
  • Team-oriented with the ability to work independently at times

Language

To perform this job successfully, an individual must be able to perform each duty satisfactorily. Must be able to read, write, speak, and interpret documents in the English language.

Mathematical Skills

Must be able to add, subtract, multiply, and divide in all units of measure.

Reasoning Ability

Ability to apply commonsense understanding to carry out instructions furnished in written or oral form. Ability to deal with problems in a calm manner and use prudent problem-solving skills. Ability to pay close attention to detail. Accuracy is of the utmost importance.

Other Skills and Abilities

Ability to interact effectively with the public while maintaining a professional and courteous demeanor. Proficient in the use of standard office equipment, including computers, copiers, postage machines, and multi-line phone systems. Strong working knowledge of Microsoft Office is required, along with experience or familiarity with QuickBooks and Salesforce platforms.
