Human Resources Full-Time Requisition #: TRAIN001753 The Training & Education Program Administrator (TEPA) – Organ is responsible for engaging in the design, development, and deployment of clinical curricula in Organ Services to meet defined objectives, maximize performance and deliver job specific skills-based on-boarding in accordance with regulatory requirements. Measures and documents learners’ preparedness of practical and productive knowledge, skills, and abilities to execute defined processes and procedures. Provides coaching and guidance on accountability for position specific knowledge, skills, and abilities. Collaborates with TEPAs and educational staff in other functional areas to ensure that efficiencies are realized and content design, development and delivery redundancy are mitigated. Oversees certified Organ preceptors including managing application process for new preceptors, observing and coaching precepting practices and provides continuing education as needed. As a Training & Education Program Administrator (TEPA) for our Organ Services team, you'll advance our lifesaving mission by performing the following duties: Develop, deliver, and administer a comprehensive organ donation and transplantation training program in accordance with regulatory requirements. Define educational requirements for job-specific onboarding, skills improvement, technical competency assessment and validation and processes and/or procedures based on regulatory, partner and customer expectations. Independently or collaboratively design curricula and coursework using instructional systems designed to provide effective adult learning experiences. This includes developing course documents, learning objectives, course content, scenarios, practice activities, simulation experiences and post-test assessments utilizing the Learning Management System (LMS), as appropriate. The curricula that are being designed and delivered include and may not be limited to job specific onboarding for the following clinical positions: Donation Coordinator Surgical Recovery Coordinator Surgical Recovery Specialist Preservation Specialist Organ Utilization Coordinator Organ Services Administrator Organ Services Administrator Donor Management The aforementioned positions engage in on-site and virtual clinical care coordination and facilitation of organ donation opportunities and guide the clinical care of the donor through professional coordination with the hospital team at various stages of organ recovery. Incorporate adult learning principles when facilitating the delivery of educational programs in person or virtual and/or in conjunction with subject matter experts (SMEs) and/or outside vendors. Utilize appropriate evaluation methodologies to measure the impact of training that is being delivered included but not limited to Kirkpatrick’s Levels. Identify and teach preceptors to assist with on-the-job onboarding and provide feedback to new Team Members (orientees/trainees) Document and monitor individual development plans, skills measurement, goals, and progress. Schedule and conduct regular debriefing sessions with orientee to review and update the status of the development plan, objectives, identify future goals and document orientee’s case experiences. Provide written evaluation of orientee’s progress determining when they can be signed off for independent practice. Develop and maintain current educational records to meet documentation requirements. Regularly engage in observation, evaluation, on-the-job or simulation, to assess and document proficiency in job skills, techniques, and core competencies of all team members. Support team member performance management through documentation of growth and development opportunities, recognition, and real time coaching and mentoring. Maintain relationships and consult with vested parties and subject matter experts (SMEs), ensuring educational programming supports initiatives aimed at increasing organ donation and transplantation. Develop and maintain working relationships with vested parties and key SMEs, when designing, developing, and delivering education. Establish a process to effectively manage, take action, and respond to educational requests that are received. Evaluate internal processes, propose recommendations or changes. Consult with other functional areas when new educational requests arise. Regularly collaborate with TEPAs that work with other clinical areas to ensure consistency as it relates to processes associated with design, development, delivery, and operations. Remain apprised of advancements and changes within the industry and specific areas of responsibility, including participation in local and national professional associations/organizations. Identify innovative techniques, procedures, and areas for the improvement of all aspects of curriculum design. Work closely with Leadership in Organ Services to consult and assist with deployment of annual Continuing Education. Regularly consult with Leadership in Organ Services to assess the support that TEPAs are providing, ascertain new development opportunities and align with functional initiatives. Provide coaching and guidance to team members relating to individual accountability for knowledge, skills, abilities, and behaviors to meet job expectations. Provide consistent real-time expertise and oversight aimed at maximizing donation during the referral. Convey leadership and support of team member’s performance, with support from Manager, through timely, effective, and respectful coaching and accountability regarding job expectations, areas of opportunity and recognition with appropriate documentation. Provide guidance and mentoring to encourage professional development and achievement of goals. Model and promote a culture of accountability and service with team members. Oversee operations and administration of all facets of curricula deployment. Maintain skills and abilities to execute responsibilities for an organ donation case in accordance with the Organ Services team job descriptions. Teach and facilitate in-person and virtual classes, provide on the job training, and act as a preceptor when necessary for new and existing Team Members. Create and maintain new and existing standard operating procedures, policies, guidance documents, and work instructions, collaborating with other departments as needed based on department workflow and/or in response to changing or new regulatory/policy requirements. Manage all scheduling, communications, document, and version control associated with various curricula. Coordinate all virtual and in person events as it relates to scheduling venues, faculty, outside speakers/partners and technical requirements. Maintain all curricula assets, actual or virtual, including manuals, guides, checklists, and websites and/or portals. Support quality and consistency, engaging in root cause analysis, follow through, and timely documentation of all non-conformance and compliance reports. Participate and engage in ensuring successful internal, customer or regulatory audits.
QUALIFICATIONS
Requires a combination of education and experience equivalent to 7 years of experience in inpatient hospital and/or operating room experience. Proven experience preparing and delivering training programs demonstrating knowledge of adult learning theory, program design, and program evaluation or assessment including competency for multi-media presentation delivery and other related technologies. Experience creating simulation activities preferred. Prefer professional previous experience within the organ, eye, or tissue donation industry. Must obtain a relevant certification in the procurement/transplant field within two (2) years of entry in the position. Once certified, must obtain the required continuing education or recertification credits/process. Public speaking skills are essential for facilitation of both in-person and remote forums with the proven ability to obtain pertinent information through observation or interview and translate it to a written training program. Proven formal and/or informal leadership capabilities exhibiting strong written and verbal communication skills with the ability to motivate peers, problem-solve and execute discretionary decision-making ability. Must be organized, detail oriented, and have excellent critical thinking and analytical skills. Demonstrated ability to provide a high level of customer service to internal and external customers with proficiency in the ability to develop and connect with people quickly. Proven self-directed, motivated contributor with a strong initiative and ability to function autonomously, establish priorities and work effectively within a team environment. Strong working knowledge of Microsoft Office applications. Demonstrated ability to exhibit a high degree of quality, integrity, and honor confidentiality of appropriate information including, but not limited to, personal team member data, organizational operations or work processes, donor and donor family information, contributor details, any financial information and medical or protected health information (PHI) in accordance with HIPAA. Proven skilled and competent in using technology-based devices and mobile tools such as personal computers and related software, electronic medical record systems, mobile phones, and mobile printing devices.WORKING CONDITIONS / SCHEDULE :
Schedule : Full-time 1.0 FTE, exempt position. Office hours; training hours to align with trainee schedule. Must be able to participate in a blended in-office and remote schedule, including working weekdays, weekends, nights, and holidays. Must be able to adjust schedule to accommodate organizational needs per job responsibility, office work, training schedule, and shift coverage, as needed. Location: Based in Minneapolis. Hybrid: blended on-site and remote, based on work needs for administrative and training responsibilities. Must be able to travel within the service area (MN, ND, SD) by ground or air occasionally, as needed. Affected team members in Category I are regularly exposed to bloodborne pathogens and have potential for this exposure or handle materials that could spread infection (one or more potential opportunities per month). Additionally, they have regular interaction with staff in patient or donor areas in a hospital or clinic setting while performing their assigned job duties. Projected offer range: $81-98k/annually, based on relevant experience.
