Department Assistant, 32 hrs, Days

Exemption Status: Non‑Exempt Hiring Range: $16.54 - $29.76 Note: The final offer may vary within this range based on a candidate's experience, skills, qualifications, and internal equity considerations. Schedule Details: Holidays – Every Other Holiday, Monday through Friday; Weekends – Every Weekend. Scheduled Hours: Mon‑Fri – two 8‑hr shifts and two 12‑hr shifts. Hours are 8am‑8pm and 8am‑4:30pm. Weekends and holidays 8:45am‑5:15pm. Shift: 1 – Day Shift, 8 Hours (United States of America) Hours: 32 Cost Center: 24050 – 4102 Urgent Care Signing Bonus: This position may have a signing bonus available. Department Assistant is responsible for a range of clerical and administrative support services essential to the daily operations of the department, including participation in special projects and initiatives, project management, and database and report maintenance. Major Responsibilities Coordinate a variety of administrative assignments under department management and ensure timely processing and documentation for various programs. Maintain databases and spreadsheets, reconcile data for accuracy, and research and resolve data gaps. Provide administrative support for the department and for projects, including arranging meetings, producing correspondence and reports, and performing clerical duties such as receiving phone calls, sorting mail, and ordering supplies. Act as a subject‑matter expert for department policies and procedures (if required). Ensure adequate inventory of office supplies, maintain and arrange repair of office equipment, and set up and maintain office PCs and related equipment. Assist with the orientation of new department members (if required). Position Qualifications License/Certification/Education Required: High school degree or equivalent. Preferred: Associate's degree. Experience/Skills Required: Minimum two (2) years of related department administration experience. Strong written and verbal communication skills. Demonstrated analytical, problem‑solving, and documentation skills. Previous experience with database software. Ability to use standard computer software packages and applications. Preferred: Knowledge of medical terminology. Unless a specific certification, licensure, or registration is required, an equivalent combination of education and experience providing proficiency in the areas of responsibility listed in this description may be substituted for the above requirements.
