Our team supports our group in all financial activities, e.g. regarding accounts payable and receivable, general ledger and corporate treasury. These include asset accounting, intercompany alignment, active collecting, customs invoicing, profit and loss accounting and payment factory for DHL.

We run the payroll for more than 350.000 employees within DHL working in 28 countries across the globe. They also offer time & attendance management, employee data administration and reporting, travel & expense processing and other services.

Job Purpose:

The Payroll Systems & Interface Analyst is responsible for managing, loading, validating, and reconciling payroll interface files between multiple HRIS systems, third-party vendors, manual files and reporting tools. This role ensures payroll data accuracy, timely processing, and operational stability while meeting stringent payroll deadlines. The analyst troubleshoots data, system, and integration issues, identifies root causes, and partners with vendors, business stakeholders, and management to implement system fixes and enhancements in accordance with formal change management processes. This role also supports system testing, conversions, and continuous process improvement initiatives.

Your tasks:

Application & Payroll System Support

• Provide application support for payroll systems (e.g., ADP), including monitoring, troubleshooting, and resolving system and data issues
• Load, manage, and process all inbound and outbound payroll interface files, ensuring accurate and complete data transmission across internal systems and external vendors
• Validate payroll file loads and balances to payroll, ensuring 100% data accuracy and successful processing
• Monitor payroll processing cycles to ensure adherence to deadlines, system stability, and data integrity
• Identify and resolve file errors, system rejects, and processing exceptions resulting from interface or configuration issues

Issue Resolution & Vendor Partnership

• Troubleshoot payroll system and interface issues in partnership with payroll vendors, IT teams, and HR/business stakeholders
• Identify root causes of recurring issues and collaborate with management to implement corrective actions, system enhancements, or process changes
• Track, document, and escalate complex system issues as appropriate to ensure timely resolution
• Proactively analyze trends, error patterns, and system behavior to prevent future payroll disruptions

System Enhancements, Testing & Conversions

• Assist with system testing activities, including unit testing, UAT, regression testing, and post-implementation validation
• Support payroll system upgrades, patches, enhancements, and configuration changes following established change request and approval processes
• Analyze and validate payroll and timekeeping data during system conversions and migrations (e.g., Kronos to ADP)
• Partner with stakeholders to ensure enhancements improve system functionality, accuracy, and efficiency

Data Analysis, Reporting & Compliance

• Research, compile, reconcile, and validate payroll data to support audits, operational requirements, and management reporting
• Prepare payroll-related reports for internal stakeholders, vendors, government agencies, and compliance purposes
• Maintain working knowledge of payroll-related benefit transactions, including 401(k) contributions

Process Improvement & Documentation

• Evaluate existing payroll processes to identify inefficiencies, risks, and improvement opportunities
• Develop, update, and maintain detailed process documentation, workflows, interface maps, and procedures
• Support continuous improvement initiatives through standardization, automation, and knowledge sharing

Your profile:

Education Level

• B achelor's degree in HR, Information Systems, Finance, Business, or related field, or equivalent experience
• Experience supporting payroll systems (e.g., ADP) and processing payroll interface files
• Strong understanding of payroll processes, data validation, and reconciliation
• Experience troubleshooting system and interface errors and identifying root causes
• Familiarity with formal change management and system testing processes

Experience

• Demonstrated experience troubleshooting payroll system, interface, and data errors, including identifying root causes and implementing corrective actions
• Experience partnering with external vendors and internal stakeholders to resolve payroll system or integration issues
• Requires 2-3 years of experience supporting payroll systems, HRIS applications, or related system interfaces, with demonstrated experience in file processing, data validation, and issue resolution.
• Experience researching, reconciling, and validating payroll and related benefit data to support audits, reporting, or compliance needs

Preferred Qualifications

• Strong understanding of payroll systems and application support, preferably ADP
• Experience supporting payroll processing, integrations and data exchanges
• Ability to analyze data, identify root causes, and recommend practical solutions Working knowledge of wage and tax laws and payroll compliance concepts
• Strong documentation, communication, and stakeholder management skills
• Ability to work independently while collaborating effectively across teams
• Build relationships and understand customer and key stakeholders' interests and concerns

Job Description

In this this role, you will perform standard tasks to establish and maintain payroll records, including computing wage and overtime payments, calculating and recording payroll deductions, and processing requests for off-cycle payments. Additional responsibilities and qualifications include:

• Inputs data to computerized payroll systems to prepare weekly and biweekly payroll, including updating and adjusting employee master file records upon notice of changes to deductions or status.

• Completes standard payroll processing activities, such as: computes wage and overtime payments, calculates and records payroll deductions, and processes requests for off-cycle payments.

• Answers routine questions (via email and phone) from employees and management regarding payroll matters.

• Performs standard administrative tasks, including answering phones, preparing reports, maintaining records, and tracking information using case management tool.

• Audits and processes payroll information submitted by Business Partners for accuracy, policy compliance and completeness.


• Creates manual checks and tracks paycheck shipments.

• Maintains confidentiality of employee and company data.

Required Education and Experience

• 5-7+ years of experience in payroll, multi-state payroll processing preferred

• Working knowledge of payroll practices, including local, state, and federal policies and regulations

• Functional knowledge of automated large scale payroll application like ADP ProBusiness.

• Bi-Lingual in Spanish preferred
