Receptionist/Patient Services Associate

The Receptionist/Patient Services Associate, PSA, is responsible for a variety of tasks that lead to a high level of customer satisfaction. In reception, the PSA greets patients in a friendly and professional manner. Additional tasks include registration of all presenting patients, handling initial and follow-up phone calls, taking messages, assisting walk-in patients with various needs, collecting copays and posting payments, printing provider schedules, and most importantly maintaining communication with patients, providers, nursing staff and other ancillary department staff. This position requires being a strong team player that works successfully with other members of the healthcare team to provide quality care to HSMG patients and other customers. May book follow-up appointments. The PSA is expected to maintain a professional, positive, and caring attitude at all times.

Essential Job Functions

  • Demonstrate care, concern and courtesy when interacting with all internal or external customers.
  • Display warm and pleasant personality at all times, emphasizing tact, empathy, and patience.
  • Exhibit sensitivity to patient's condition when obtaining information and ensure maximum confidentiality.
  • Present patient with HIPAA's "Notice of Privacy Practices."
  • Provide and briefly explain the "Acknowledgement of Privacy Practices" to patients. Obtain patient signature.
  • Provide patient with a copy. Send original to nurse for placement in chart.
  • Obtain and witness consent signatures according to Federal and State regulatory guidelines.
  • Handle telephone calls utilizing proper phone etiquette. Answer incoming calls with first name and suite location.
  • Register all presenting patients.
  • Scan insurance cards and ensure verification of insurance is documented.
  • Collect applicable copays.
  • Check patient into EMR tracking.
  • Take accurate messages and relay to appropriate person as quickly as possible.
  • Schedule same-day or follow-up appointments when applicable.
  • Interview patients, verifying and updating all information to complete demographic and billing statistics.
  • Utilize specific provider and group appointment guidelines when booking appointments.
  • Cancel and reschedule patients as necessary.
  • Print providers' schedules.
  • Promptly remove cancellations and no-shows from schedule.
  • Maintain neat, clean, and professional-looking work areas.
  • Interact professionally and respectfully with patients, co-workers, supervisors, vendors and anyone who enters our medical office.
  • Adhere to company Code of Conduct, Compliance policies, time-keeping system, and all policies and procedures as outlined by Heritage Sierra Medical Group, health plans and/or its affiliates.
  • Perform other duties as assigned.

The pay range for this position at commencement of employment is expected to be between $21.00 and $23.00/hour; however, base pay offered may vary depending on multiple individualized factors, including market location, job-related knowledge, skills, and experience. The total compensation package for this position may also include other elements, including a sign-on bonus, and discretionary awards in addition to a full range of medical, financial, and/or other benefits (including 401(k) eligibility and various paid time off benefits, such as vacation, sick time, and parental leave), dependent on the position offered. Details of participation in these benefit plans will be provided if an employee receives an offer of employment.

  • Must have High School Diploma (or equivalent)
  • Must possess exceptional customer service skills
  • Excellent communication skills
  • Bilingual (English-Spanish) preferred, not required.
  • Team Player
  • Ability to deal with difficult situations - should they occur.

Work Position:

  • Sitting - frequency - 70% or more.
  • Standing - frequency - less than 15%.
  • Walking - frequency - less than 15%.

Body Movements:

  • Lifting - 0 to 20 lbs: books, reams of paper, files, etc. - frequency - approximately 10%.
  • Bending, stooping and squatting - frequency - approximately 5%.
  • Reaching above head to 75 degrees - frequency - approximately 10%.
  • Hand/grip dexterity - frequency - approximately 70%.
  • Climbing stairs - typically one flight - frequency - approximately 5%.
