Support Specialist, Human Factors

The Support Specialist is a full-time, hybrid position responsible for providing skilled support services to our operations group in client services. The successful candidate will manage client-supplied materials and review and summarize depositions and discovery documents with a focus on work predominantly with law firms and manufacturers. They will serve as professional representatives of the company through written and verbal communications This is a full-time position targeting approximately 40 hours per week. Work will be done from both home and office. Essential Job Functions The following duties are representative but not exhaustive. Document & Materials Management Receive, organize, log, and maintain client-supplied legal materials including but not limited to pleadings, correspondence, exhibits, and electronic files. Establish, maintain and accurately track document deadlines, follow up on outstanding materials, and provide status updates to supervising attorneys or project managers. Ensure chain-of-custody integrity and confidentiality for all client materials. Deposition & Discovery Review and Summarization Read, analyze, and prepare concise, accurate summaries of depositions, including witness testimony, exhibits referenced. Identify any gaps, determine additional materials required, and coordinate with clients. Review, analyze and prepare concise, accurate summaries of discovery materials including interrogatories, requests for production, requests for admission, and responses thereto. Client & Professional Communications Project a professional company image in all email, phone, video, and written communications. Serve as a responsive and courteous point of contact for law firm clients and manufacturer representatives. Draft professional correspondence, transmittal letters, and follow-up communications on behalf of the consulting team. Exercise sound judgment regarding communication urgency, escalating time-sensitive matters promptly. Track court case status and assist in organizing activities to support case load of more than 100 active cases. Prepare files for transmission to clients and opposing counsel in preparation for expert witness depositions and trial appearances. General Legal Support Coordinate scheduling of meetings, depositions, and deadlines using shared calendars and project tracking tools. Maintain awareness of applicable legal and procedural rules relevant to client matters. Communicate with the Legal Department regarding subpoenas received and related deadlines. Assist with compiling responsive documents to subpoenas, including redactions, as needed. Requirements Associate's degree, certificate, or equivalent coursework (legal studies or related work experience preferred). Proven experience (minimum five (5) years) as a paralegal, legal secretary, or legal assistant in a law firm, legal department, or legal services firm. Experience supporting civil litigation matters strongly preferred. Experience working with manufacturers or product liability matters a plus. Proficiency with PACER, Microsoft Office Products including Word, Excel, PowerPoint, Access, Outlook, Adobe Acrobat, etc., and with various legal related sites. Strong written and verbal communication skills. Excellent organizational, project, and time management skills with strong attention to detail. High degree of professional ethics, integrity, and professionalism. Physical Demands, Overtime, and Travel Requirements Physical Demands Work is performed primarily in an office setting. Employee is frequently required to stand, walk, sit, climb, bend, balance, stoop, kneel, crouch, talk, and hear. Employee may lift and/or move up to 25 pounds. Clear vision and depth perception are also necessary. In addition to physical requirements, employee must be sharp, focused, and alert when conducting his or her job duties. This includes possessing the mental aptitude, cognition, concentration, and state of mind necessary to perform his or her job duties, with negligible distractions that could jeopardize employee's work productivity, quality of work, and safety to self and others. Overtime This position is classified as salaried with an exempt FLSA status. Regular working hours are 8:00 a.m. to 5:00 p.m., Monday through Friday, with one hour for lunch. There will be periods where overtime will be required, which the employee will need to comply with in order to meet the demands of the position.
