Project Expeditor

JOB DESCRIPTION:

This position performs work requiring advanced knowledge which is predominately intellectual in character, which routuniely execercises discretion and judgement. This position serves as a coordinator for post- award deliverables. Expediting is intended to execute delivery of goods and services from third party Suppliers on a timely basis. Goal is to ensure goods and services purchased by the company are delivered to their final destination as contractually required. The Expeditor will meet current schedules and prevent delays that could lead to increased costs, reduced quality or loss of customer satisfaction.


SUMMARY OF RESPONSIBILITIES:

• Apply standards and processes consistently with minimal supervision.
• Work as a Team in a fast paced and pressure environment.
• Attend Procurement related meetings and events
• Perform duties with strict adherence to Axens Corporate Policy and core values.
• Recommend and implement new and revised processes.
• Participates in pre and post contract award meetings to review and discuss schedules and mitigate potential problem areas that may impact project contractual delivery dates.
• Communicate effectively with Project Management, Procurement, Engineering, Legal, Risk Management, Operations, Suppliers, Distributors, Accounts Payable and Vendor Maintenance, providing support to resolve internal and external issues.
• Maintain working files of expediting related documents and memorandum of conversations to record expediting activities. Maintain a system to initiate follow-up actions at appropriate times throughout the lifecycle of the purchase orders including drawings approval, manufacturing/fabrication process, inspection, shipping and delivery.
• Maintain continuous communication with third party suppliers and external customers.
• Coordinate and issue Shipping Release Notes required to notify all parties when goods and services are completed.
• Assist in the Invoice Management Process to validate and receive contractual deliverables within the ERP (SAP) system.
• Track and report KPI's to Management on a quarterly basis through Axens/PCD's quality management system.
• Continusously monitor the progress of the "ORDER" through delivery of all materials and associated documentation to meet the schedule requirements.
• Responsible for conducting Kick Off Meetings with suppliers and distribution of meeting minutes to all relevant parties.
• Will assist Buyer with receipt of all PO Acknowledgements.
• Assist in purchase order closeout when necessary.
• Coordinate shipping arrangements or tracking requests with the project traffic representative.
• Review material receiving reports against shipping documents to verify that material received at jobsite. Assists in tracing missing material.
• Subject to project requirements, monitor the issuance of material requisitions and other project and procurement actions affecting material deliveries.
• Extract, Report and Communicate data/documentation associated with deliverables to both internal and external parties for action as required.
• Perform expediting delivery duties as defined by management.
• Knowledge and understanding of Import/Export and Local Customs regulations.
• Not limited to coordinating shipping documents associated with financial instruments.
• Process receiving transaction within SAP for projects and overhead deliverables.
• Assist with additional duties as needed.

Key Experience, Skills and Abilities:

• BS degree in related field + 3 years experience in related position or 5-7 years experience in lieu of BS degree.
• Must be self directed, take initiative and innovative.
• Strong work ethic; driven.
• Must be able to multi-task while providing timely and accurate turnaround on tasks and strict deadlines. Must be able to effectively manage and prioritize multiple orders/projects.
• Strong and effective communication skills including verbal and written
• Proficient in MS Office (Word, Excel, PowerPoint, Power BI, and TEAMS) and basic overall computer skills.
• Be able to apply good judgement and logic to root cause issues to arrive at reasonable solution.
• Strong attention to detail and analytical skills is essential.

Working Conditions:

• Travel may be required across a broad geographic region, as determined by Management.
• Will be required to carry a company provided mobile phone and respond as needed during working and non-working hours depending on project deliverables.
• May be required to work non-traditional hours as needed.
