DSE Summer Individualized Education Plan (IEP) Assistant
Under the direction of the Coordinator, Department of Academics Budgets, the DSE Summer Individualized Education Plan (IEP) Assistant provides high-volume administrative and financial support during the summer months (JuneSeptember). This temporary role is responsible for the intake, validation, processing, and submission of employee timesheets and salary vouchers.
The position supports compliance, bi-weekly payroll processing, and internal standards by ensuring all timesheets and vouchers are accurate, complete, and submitted in a timely manner. The role operates in a deadline-driven, and compliance-focused environment.
Initial training, periodic check-ins, and certain assigned tasks may require in-person work in an office setting; however, there is potential for remote work.
Minimum Qualifications:
- A minimum of a high school diploma or GED equivalent may be required.
Preferred Qualifications:
- Experience with Microsoft Teams
- Experience with Google Suite applications
- Strong interpersonal skills for interacting with staff
- Strong organizational skills and attention to detail in managing a high volume of timesheets and preparing financial data for payroll review and processing.
- Detail-oriented with the ability to manage structured datasets and maintain accuracy within a high-volume workflow environment.
Essential Position Responsibilities:
- Manage the intake, review, and tracking of employee timesheets using a centralized e-mailbox and organizational tools.
- Validate all timesheets against the developed criteria and compliance measures
- Communicate with staff regarding corrections and ensure timely submission to meet bi-weekly payroll deadlines.
- Track submission timelines and ensure adherence to payroll deadlines
- Consolidate timesheet details by utilizing Excel query functions
- Collaborate with the Office of Human Resources to verify and apply correct employee per diem rates.
- Prepare and submit bi-weekly salary vouchers in accordance with the Division of Payroll guidelines
- Communicate with Department of Special Education leadership to ensure the timely approval of all submitted salary vouchers
- Retain digital documentation and records in accordance with organizational procedures and recordkeeping requirements.
- Perform other clerical and administrative duties as assigned
Essential Knowledge, Skills, and Abilities:
- Basic computer literacy
- Intermediate Excel skills
- Proficiency in Microsoft Outlook
- Self-starter and detail-oriented
- Ability to communicate effectively
- Previous clerical, administrative, or data entry experience
Additional Requirements:
- Start/ end dates:
- Start date: June 15 (including training period)
- End date: August 24 - September 18
- Hours:
- 15 hours per week, minimum for internal hire;
- 20 hours per week for external hire, as he/she may require additional time to acclimate;
- Less time may be required during the training period in June.

- Hybrid (Central Office / remote)

Employment Information:
- Compensation: This is a temporary position. The hourly rate of pay is $22 to $28 per hour based on assigned tasks.
- Benefits: HCPSS offers Sick and Safe Leave for eligible temporary employees. Additional information can be located on the HCPSS Website for temporary employees.
- Temporary employees are also eligible to participate in the Supplemental Retirement Savings Plans: 403(b).
- Pre-Employment Requirements: Professional references will be contacted prior to any offer of employment. Recommended candidates will be required to provide references from current and recent supervisors.
