The Facilities Manager leads the day-to-day operation, maintenance, safety, and appearance of Emerald Heights’ buildings, grounds, equipment, and related systems. The position translates departmental goals into reliable service by supervising staff and contractors, directing preventive and corrective maintenance, coordinating projects, monitoring budgets and performance, and maintaining regulatory readiness. The Facilities Manager promotes a resident-centered culture and ensures work is completed safely, efficiently, accurately, and with minimal disruption to community life. Pay: $93,000 - $100,000 Schedule: M-F Full Time - General Business Hours We offer: 100% paid medical, dental and vision, employer paid life insurance and AD&D for employees working 30+ hours/week (Option to buy-up if desired). Primary Responsibilities: Direct daily facilities operations across the campus, including building systems, maintenance, grounds, and assigned support services. Supervise, schedule, train, coach, and evaluate assigned employees; support recruitment, performance management, and corrective action in partnership with Human Resources and the Director of Facilities. Establish work priorities, service standards, and deadlines; assign labor and resources to meet resident needs and operational demands. Maintain a comprehensive preventive maintenance program for buildings, equipment, utilities, and life-safety systems; verify that inspections and scheduled tasks are completed and documented. Review, prioritize, assign, and monitor work orders through the computerized maintenance management system (CMMS); track completion times, recurring issues, backlog, and service quality. Inspect buildings, grounds, equipment, and completed work to confirm safety, quality, cleanliness, code compliance, and resident satisfaction. Coordinate troubleshooting, repair, and replacement of mechanical, electrical, plumbing, HVAC/refrigeration, emergency power, structural, and related building systems. Support the campus fire and life-safety program, including inspections, testing, documentation, drills, staff training, and timely correction of identified deficiencies. Support emergency preparedness and business continuity efforts; participate in planning, training, exercises, incident response, and after-action improvements. Ensure compliance with applicable federal, state, and local requirements, permits, safety procedures, hazardous-material controls, and organizational policies. Maintain required safety information and records, including Safety Data Sheets, equipment records, permits, warranties, inspection reports, and plans of correction. Coordinate renovation, repair, and capital improvement projects with architects, engineers, contractors, vendors, inspectors, permitting agencies, residents, and internal stakeholders. Develop scopes of work, obtain and evaluate proposals, monitor contracts, inspect vendor performance, and confirm that work meets specifications, schedules, budgets, and community standards. Participate in annual operating and capital budget development; monitor expenditures, approve or reconcile invoices within delegated authority, and identify cost-control opportunities. Maintain appropriate inventory levels and controls for tools, equipment, parts, materials, and supplies; coordinate purchasing and replacement planning. Use operational data and reports to evaluate reliability, response times, costs, energy and water use, and other performance indicators; recommend improvements to processes and systems. Promote practical sustainability and resource-efficiency initiatives that support reliable operations, responsible stewardship, and long-term asset performance. Communicate maintenance activities, service interruptions, safety concerns, and project schedules clearly and promptly to residents, staff, vendors, and leadership. Respond to after-hours facilities emergencies Participate in committees, meetings, training, and organization-wide initiatives; perform other duties and special projects as assigned. Required Knowledge, Skills and Experience: High school diploma or equivalent required; associate or bachelor’s degree in facilities management, engineering, construction management, business, or a related field preferred. At least five years of progressively responsible experience in facilities operations, building maintenance, construction, or a related field. At least two years of supervisory or team-lead experience required. Experience in senior living, health care, hospitality, multifamily housing, or another occupied-campus environment preferred. Equivalent combinations of education, technical training, and relevant experience may be considered. Valid Washington State driver’s license and an acceptable motor vehicle record required. Knowledge of purchasing, records management, scheduling, and task coordination. Tech-savvy, computer proficient & strong experience with Microsoft 365. Excellent verbal and written English communication skills. Ability to prioritize responsibilities, manage multiple tasks, and learn new processes quickly. Ability to work independently, exercise sound judgment, and use common sense. Ability to collaborate effectively with residents, staff, vendors, and management. Resourceful, flexible, and able to maintain confidentiality. Positive, courteous, and customer-focused approach. Regular, dependable, and reliable attendance.
