Job Overview

We are seeking a detail-oriented Fleet, Safety, and Compliance Administrator to manage our company assets, DOT compliance, and safety programs. You will oversee vehicle and equipment files, ensure full compliance with FMCSA and OSHA regulations, and manage environmental reports for underground storage tanks (UST). The ideal candidate is highly organized, proactive, and experienced in commercial fleet logistics and workplace safety. Pay will be based on experience and qualifications.

Responsibilities

Fleet & Asset Management

• Maintain accurate equipment and vehicle files.
• Add insurance to newly purchased equipment and vehicles.
• Handle titles, tags, and registrations.
• Track monthly vehicle lists for tag renewals.
• Manage company fuel card programs.
• Coordinate vehicle mileage sheets.
• Oversee the company driver list and annual Driver Vehicle Inspection Reports (DVIR).

DOT & FMCSA Compliance

• Maintain comprehensive commercial driver files.
• Submit quarterly IFTA reports and secure yearly stickers.
• File yearly Heavy Highway Vehicle Use Tax (Form 2290).
• Manage IRP tags and Unified Carrier Registration (UCR).
• Complete biennial MCS-150 updates.
• Handle online reporting for the FMCSA and MOTUS.
• Secure single-trip and blanket Overweight/Oversize (O/W) permits.

Safety & OSHA Compliance

• Maintain OSHA logs and track Experience Modification Rate (EMR) metrics.
• Manage on-the-job injury reporting and workers' compensation documentation.
• Coordinate and document company safety training programs.

Environmental Compliance (UST)

• Generate monthly Underground Storage Tank (UST) reports via Veeder-Root.
• Inspect outside fuel tanks.
• Maintain strict environmental audit files.
• Keep UST certifications up to date.
• Request certificates of insurance (COI) from vendors.

Qualifications

• Experience in fleet administration, DOT compliance, or logistics coordination.
• Knowledge of FMCSA regulations, IFTA, IRP, and OSHA recordkeeping.
• Familiarity with Veeder-Root systems or environmental monitoring is a plus.
• Strong proficiency in online reporting portals and data entry.
• Exceptional organizational skills and ability to meet strict regulatory deadlines.
• Must be able to pass drug test
