Office Clerk

Responsible for handling clerical tasks in the office. Handles incoming phone calls and other communications, greets clients and visitors, manages files, updates paperwork and other documents, and performs other general office clerk duties and errands. Principal Accountabilities: 1. Communicates correspondence with clients and other departments as needed. Prepares and maintain follow-up of action items to meet deadlines. 2. Compiles information, data and maintains updated and accurate spreadsheets for operations. 3. Initiates and composes routine correspondence regarding meetings, requests for maintenance, purchasing, telecommunications requests, general program inquiries, etc. 4. Maintains a favorable image by demonstrating courtesy, patience, persistence, sensitivity and tact. 5. Establishes, maintains and revises record keeping and filing systems for retention of information in order to facilitate prompt and organized retrieval of information when necessary. 6. Assists in managing and maintaining multiple excel spreadsheets for distribution internally for organizational efforts as required. 7. Maintaining organization of all Shared Governance Council including calendar invites, reminders, minutes, and attendance both with hardcopies and electronically for future organizational reference. 8. Maintaining the organization of the Western Region Patient Care Services Generic Nursing Policy manual and ensuring all policies are up to date. 9. Maintaining the organization of files for contact hours through the New Jersey State Nurses Association. 10. Assisting with the orientation of patient care employees including the assignment of their online competencies and of their required accesses, as well as maintaining a log of those who have been oriented. 11. Coordinating communications to nursing staff across Western Region. 12. Maintaining the websites for Nursing Education, Shared Governance, and PACT. 13. Supply ordering for the department, invoice payments. 14. Oversee payroll/API for 4 departments. 15. Manage schedule, calendar, communications, and travel for the Manager of Nursing Education. 16. Performs other related duties as assigned.

Qualifications: Required: 1. Associate's degree or equivalent. 2. 2 years of relevant experience. Preferred: 1. Bachelor's Degree in any related field.
