Asset Coordinator

Position Overview

Ultimate Staffing Services is actively seeking a dedicated and detail-oriented Asset Coordinator to join their client's team at a renowned university in San Jose, CA. This position offers an excellent opportunity to support fixed asset management, inventory control, equipment tracking, and surplus asset operations. The Asset Coordinator will play a crucial role in maintaining accurate asset records, coordinating asset transfers and disposals, and ensuring compliance with organizational policies and procedures.

Key Responsibilities

Asset Management & Inventory Control

• Identify, tag, track, and maintain records for fixed assets.
• Review purchasing and receiving information to determine asset classifications.
• Update and maintain asset management databases and records.
• Process asset acquisitions, transfers, retirements, and disposals.
• Generate inventory and asset-related reports.
• Maintain documentation and ensure compliance with established asset management procedures.

Physical Inventory & Audits

• Schedule and conduct campus-wide physical inventories.
• Reconcile discrepancies and update records as necessary.
• Work with department representatives to verify asset locations and ownership.
• Support audit readiness and inventory accuracy initiatives.

Surplus Asset Management

• Coordinate the disposition of surplus and obsolete equipment.
• Manage asset transfers, donations, recycling, and surplus sales.
• Maintain custody and security of surplus assets pending disposal.
• Support online surplus auction activities and e-waste programs.

Cross-Functional Coordination

• Partner with Accounting, Procurement, IT, Distribution, and other departments on asset-related matters.
• Assist with equipment deliveries and asset transfers.
• Provide guidance and support regarding asset management procedures.
• Support training efforts and asset tracking best practices.
• Maintain an organized and safe warehouse environment.

Qualifications

Required

• High school diploma or equivalent.
• 3+ years of experience in inventory control, asset management, warehouse operations, or property management.
• Experience maintaining inventory records and databases.
• Strong organizational and administrative skills.
• Excellent verbal and written communication skills.
• Ability to work independently and manage multiple priorities.
• Strong customer service skills.
• Valid driver's license.
• Ability to lift and carry up to 50 pounds.

Preferred

• Experience with asset management systems, property accounting, or equipment disposition.
• Inventory auditing and reconciliation experience.
• Experience with barcode scanning and inventory tracking systems.
• Advanced proficiency with Microsoft Office Suite and Google Workspace.
• Forklift certification or experience operating material handling equipment.
• Experience creating and maintaining process documentation.

Physical Requirements

• Frequent standing, walking, bending, and lifting up to 50 pounds.
• Ability to work in both office and warehouse environments.
• Frequent movement between buildings and work locations.

Additional Details

• Work Hours: Monday - Friday, 1st Shift
• Location: San Jose, CA
• Pay: $20 - $22 per hour, DOE
