The role also includes responsibility for the care, maintenance and administration of the Managing Director’s vehicle, alongside wider fleet coordination duties where required. The post holder will represent the organisation professionally at all times and must demonstrate exceptional punctuality, confidentiality, flexibility and attention to detail. Professional Driving Responsibilities Safely transport the Managing Director to and from meetings, care homes, conferences, airports, railway stations and external events. Plan all journeys in advance, taking account of traffic conditions, road closures and suitable alternative routes. Arrive at collection points at least 15 minutes before the agreed collection time. Ensure the Managing Director arrives safely and punctually at all destinations. Maintain a calm, smooth and comfortable driving style. Avoid sudden braking, acceleration and unnecessary disruption during journeys. Assist the Managing Director with luggage, equipment, documents and personal belongings. Monitor flight and train arrival times when completing airport or railway station collections. Meet passengers at the appropriate arrival point where required. Remain contactable during journeys and waiting periods to accommodate changes to plans. Complete all required driving logs, mileage records and paperwork accurately and promptly. Comply with all road traffic laws and company driving requirements. Never use a handheld mobile phone while driving. Ensure all speed limits, parking restrictions and road regulations are followed at all times. Fleet and Vehicle Management Take responsibility for the daily condition, cleanliness and presentation of the assigned vehicle. Complete daily vehicle safety checks, including tyres, oil, coolant, windscreen washer fluid, lights and exterior condition. Ensure the vehicle is roadworthy, legally compliant and safe to drive before every journey. Ensure the vehicle remains adequately fuelled, with at least a quarter of a tank available. Report any damage, defects, warning lights or mechanical concerns immediately. Arrange servicing, MOTs, repairs, replacement tyres and routine maintenance. Monitor vehicle mileage and notify the appropriate person when servicing is due. Maintain accurate records of servicing, repairs, insurance, road tax, mileage and vehicle expenditure. Coordinate windscreen repairs and insurance claims where required. Support the management of the organisation’s wider vehicle fleet. Assist with the purchase, sale and replacement of company vehicles. Liaise with garages, dealerships, insurers, leasing companies and other vehicle suppliers. Ensure vehicles are cleaned regularly inside and outside. Remove litter, drinks and personal belongings from the vehicle after each journey. Ensure smoking and vaping do not take place in company vehicles. Confidentiality and Professional Standards Treat all conversations, telephone calls, meetings and information overheard while driving as strictly confidential. Understand that unauthorised disclosure of confidential information may be treated as gross misconduct. Maintain complete discretion regarding the Managing Director’s movements, appointments and business activities. Handle sensitive commercial, employee, resident and organisational information appropriately. Represent the organisation positively when visiting care homes, meetings and external locations. Maintain a professional and smart appearance while on duty. Follow the organisation’s dress code and presentation standards. Behave respectfully and professionally toward passengers, colleagues and members of the public. Maintain appropriate professional boundaries at all times. Passenger Comfort and Service Provide a quiet, comfortable and professional environment during journeys. Understand that the Managing Director may need to work, make telephone calls or rest while travelling. Keep conversation to a minimum unless the Managing Director initiates it or provides instructions. Keep the radio switched off unless requested otherwise. Avoid swearing, complaining about traffic or commenting negatively on other road users. Check that passengers are comfortable and respond promptly to reasonable requests. Assist with opening doors, carrying luggage and transporting documents or equipment where appropriate. Adapt calmly and professionally to last-minute changes in travel arrangements. Ensure the vehicle is clean, tidy, comfortable and ready for use at all times. The Ideal Candidate Essential Experience Previous professional driving, chauffeur or executive driver experience. Experience transporting senior leaders, executives or private clients. Experience completing vehicle checks and managing routine vehicle maintenance. Experience handling confidential and sensitive information. Excellent customer service and interpersonal skills. Experience planning routes and managing changing travel requirements. Desirable Experience Experience supporting a Managing Director, Chief Executive or senior leader. Experience managing or coordinating a company vehicle fleet. Experience arranging vehicle insurance, servicing, repairs and vehicle purchases or sales. Advanced driving or chauffeur training. Skills and Knowledge Excellent driving skills and strong knowledge of road safety. Good geographical knowledge of the South East of England. Confident use of satellite navigation and traffic-planning applications. Excellent organisation and time-management skills. Ability to remain calm and professional under pressure. Strong attention to detail. Excellent communication and interpersonal skills. Ability to work independently and use initiative. High levels of integrity, discretion and reliability.
