The Work You Will Do: Contract Coordinator I - District Four/Director of Operations / District Maintenance / West Palm Beach Maintenance-Admin/West Palm Beach Maint – Eng/Contracts This position will ensure the agency’s programs and operations run efficiently and in compliance with all contractual requirements. This position manages, monitors, and administers contracts to ensure timely execution, accurate documentation, and adherence to agency policies, state regulations, and funding guidelines. By supporting procurement activities, coordinating with vendors and internal stakeholders, and tracking contract performance. Where You Will Work: District Four | Palm Beach Operations 7900 Forest Hill Blvd West Palm Beach, FL 33413 Annual Salary Range: $52,129.02 - $67,461.09 A Competitive Area Differential (CAD) additive in the amount of $1,976.00 will be added to the annual salary. Your Specific Responsibilities: Oversees contractor activities on maintenance contracts to assure that the Contract Documents are being adhered to and Contract Administration procedures are being followed. Creates, issues, and verifies work documents to contractors indicating work locations, pay item quantities of work to be performed, and date work is to begin/end, if required by contract. Makes field reviews with contractor as needed. Assists with the development and preparation of the preliminary plans, specifications, preliminary estimates, and related contract documents for all assigned contracts. Conducts pre-work meetings to ensure the contractor understands scope of work and expected results. Assists with the preparation of contract renewal documents, draft maintenance agreements with municipalities, supplemental agreement drafts, time extensions, contractor correspondence and other documents necessary for proper management of the contract as directed. Provides support to inspector in resolving contract related problems and scheduling of work. Motivates inspector to improve the quality and quantity of work performed. Provides assigned inspector with on-the job training in proper techniques and Department procedures. Verifies invoices, generates pay estimates in Site Manager and Florida Accountability Contracts Tracking System (FACTS) and enters data in the Maintenance Management System. Completes Notice of Beginning and Ending letters, Contractor Field Performance Reports and other related documents as directed. Coordinates and assists in performing work need surveys to gather information for maintenance contract work plan. Evaluates work plan for possible conflicts with existing utilities, other projects, local residents, cities and businesses. Assists with data collection and field reviews pertaining to legal claim investigations The Successful Candidate will have the following required Knowledge, Skills, and Abilities: Knowledge of: engineering concepts and repair inspection Skills in: verbal and written communications using computer programs such as Word, Excel, and other department mainframe programs. Ability to: oversee and administer contracts interpret contract plans, standard specifications, design standards and a general understanding of engineering terminology plan, organize, and coordinate work assignments maintain accurate records analyze and resolve problems using plans, specifications, contract documents and engineering judgment interpret field data maintain effective working relationships with others use procedures and specifications to develop maintenance contracts Other Job-Related Requirements: While on-duty status, the position's incumbent may be required to drive a state owned or leased vehicle to perform the duties of this position. A valid Class E driver's license is required. Employee may be required to work with or around hazardous materials. Responsible for adhering to the provisions and requirements of section 215.422, F.S., related State Comptroller's rules, and Department of Transportation's invoice processing and warrant distribution procedures. Minimum Qualifications: High School Diploma or Certificate of High School Equivalency and 12 months of infrastructure design, construction, or maintenance experience; or an associate degree or higher. Position requires a valid Class E driver license with an acceptable driving record in accordance with the Department’s Driver’s Record Requirements Policy. An unacceptable driving record is defined as any of the following: three (3) or more moving violations in the past three (3) years that accumulate three (3) or more points per violation; any two (2) convictions of reckless driving in the past three (3) years; a suspension or revocation of the driver license for moving violations in the past three (3) years; and a suspension or revocation for refusal to take a sobriety test, or any suspension or revocation for a DUI conviction, in the past four (4) years. Your driving record will be reviewed and the status of your driver’s license confirmed. To be considered for employment, applicants must meet the qualifications outlined in Title 49 CFR Part 391.11.
