Site Events Coordinator

CTG is seeking to fill a Site Events Coordinator position for our client. Location: Albany, NY Duration: 12 months Duties: Coordinate and manage site visits, customer visits, employee events, meetings, and special programs from planning through completion. Plan and oversee event logistics, including venue selection, room setup, catering, refreshments, audiovisual needs, and event materials. Manage relationships with venues, vendors, caterers, and service providers. Develop event timelines, schedules, communication plans, and registration processes. Recruit, organize, and lead event planning committee members and volunteers. Facilitate planning meetings and ensure event objectives, milestones, and deadlines are met. Monitor event budgets and track expenses. Coordinate attendee registrations, guest communications, and on-site logistics. Ensure meeting rooms and event spaces are properly prepared and configured. Proactively identify and resolve issues to support successful event execution. Conduct post-event evaluations and recommend process improvements. Occasionally support events outside of standard business hours. Skills: Event Planning & Coordination Project Management & Logistics Vendor and Service Provider Management Leadership & Team Coordination Customer Service & Relationship Building Strong Communication and Organizational Skills Problem Solving and Attention to Detail Microsoft Office Suite, including Outlook, Teams, Excel, and PowerPoint Experience: 2+ years of experience coordinating events, meetings, corporate functions, hospitality operations, or related activities. Experience leading committees, volunteers, or cross-functional teams. Demonstrated ability to manage multiple projects, priorities, and deadlines simultaneously. Experience coordinating vendors, catering, facilities, audiovisual services, and other event logistics. Ability to work onsite in Albany, NY and occasionally support events outside standard business hours. Education: Bachelor’s degree in Event Management, Hospitality, Business Administration, Communications, or a related field preferred. Excellent verbal and written English communication skills and the ability to interact professionally with a diverse group are required.
