Job Description
- Coordinate and manage project timelines, deliverables, and milestones to ensure deadlines are met.
- Prepare and distribute project-related documentation, including reports, meeting agendas, and presentations.
- Act as a point of contact for internal and external stakeholders, ensuring effective communication and information flow.
- Assist in scheduling and organizing meetings, including preparing meeting rooms and materials.
- Assists in promoting business development, entering contacts and business activities in InterAction and coordinating with Business Development & Marketing department as required.
- Prepares engagement letters and new matter memos for new clients and matters.
- Track project progress and provide regular updates to team members and leadership.
- Maintain accurate records and ensure proper documentation of all project activities.
- Support the project team by addressing administrative needs and resolving logistical challenges.
- Collaborate with other departments to ensure alignment and smooth project execution.
- Coordinates with Conference Services for internal and client meeting requests, including but not limited to audio-visual, catering services and external vendors.
- Coordinates client-related business meals and maintains up-to-date knowledge of Firm-and attorney-preferred restaurants.
The Successful Applicant
A successful Administrative Project Coordinator should have:
- 2+ years of administrative experience in legal or professional services enviornments.
- Bachelor's Degree.
- Must be a Notary Public licensed in DC, Virginia or Maryland or able to obtain a commission within six months of joining the Firm.
- Strong organizational and time management skills to handle multiple tasks and deadlines.
- Proficiency in using project management tools and software.
- Excellent communication and interpersonal skills.
