JobSummary We are seeking a detail-oriented and proactive Accounts Payable (AP) Specialist to join our growing finance team. This is a great opportunity for someone early in their career who enjoys working with numbers, staying organized, and contributing to a collaborative and fast-paced environment. This role will primarily focus on verifying and processing vendor invoices on time, handling payment exceptions, and supporting vendor communication. You’ll work with both AI-driven invoice processing systems and construction billing tools such as Trimble Pay. Training will be provided. KeyJobResponsibilities Invoice Verification: Review and validate vendor invoices that have been automatically scanned in the AP inbox by AI before pushing those to the approval process. DataEntry:Processandenteroverheadinvoices. ExceptionHandling:Identifyandresolveinvoicediscrepancies,mismatches,ormissingdocumentationflaggedbytheAIsystem. Vendor Communication: Serve as the point of contact for vendor inquiries, ensuring timely resolution of payment issues and maintaining positive relationships. PaymentProcessingSupport:Helpprepareweeklypaymentsviacheck,verifyingpaymenttermsanddeadlines. Job Costing & Coding: Ensure all invoices are properly coded to correct jobs, cost codes, general ledger accounts, and phases. APDocumentation:Maintainorganizeddigitalrecordsandensureaudit-readybackupforalltransactions. Reconciliations:AssistwithmonthlyAPledgerreconciliationsandsupportthemonth-endcloseprocess. RequiredExperience Strongattentiontodetail,withahighdegreeofaccuracyinmanualdataentry Goodorganizationalandtimemanagementskills Basicunderstandingofjobcostingandaccountingprinciples Associatesdegreeorapplicableworkhistory Abilitytoworkbothindependentlyandcollaborativelyinafast-pacedenvironment.
