Leaves of Absence Specialist: Compliance & HR Guidance

Job Summary: The People & Culture Administrator, Leaves of Absence is responsible for the day-to-day administration of leaves of absences including maintaining compliance with all federal and state regulations and BDO's internal policies while providing excellent customer service. Job Duties: Leave of Absence Administration: Manages all leaves of absences, determines eligibility for various leave programs including Family and Medical Leave (FMLA) according to legislative guidelines and BDO's policies. Advise HR personnel and employees on leave eligibility, provisions, and other matters related to Leave of Absences. Counsel employees and HR concerning leave benefits and provide individuals with accurate information relating to leave certification requirements, return to work dates, etc. Communicate with other functional groups that interact with the leave process (payroll, legal, people & culture, etc.) as applicable. Maintain employee leave records, including confidential medical certifications ensuring HIPAA compliance. Prepare reports on employee leaves and utilization of leave programs within BDO. Handle all requests for leaves and ensure the appropriate information is documented and distributed in accordance with legislative regulations. Serve as subject matter expert regarding all leaves of absences including but not limited to BDO-sponsored policies, FMLA, state-sponsored regulations, HIPAA, ADA as well as other leave of absence related policies and guidelines applicable to BDO firm-wide. Consult with BDO legal as appropriate to manage firm's leave of absence programs to ensure compliance with legal requirements as well as BDO's internal policies and procedures. Along with the Leave Manager, collaborate with People & Culture Manager, Benefits, People & Culture Director and legal to make or recommend changes to leave of absence programs. Monitor federal or state regulatory changes to leave of absence statutes, and recommend necessary changes to ensure continued compliance. Total Rewards - Benefits: Know BDO's benefits to answer questions from those requesting a leave of absence, including disability, medical, dental, vision, life insurance, premiums, life event changes, etc. Assist the benefits team with projects and day-to-day administration of benefits as time permits. Other duties as required: Supervisory Responsibilities: N/A Qualifications, Knowledge, Skills and Abilities: Education: Bachelor's degree or Associate's degree preferably in Business Administration, Human Resources or Finance required. Experience: Minimum of 3 years of Human Resources experience, required; preferably in leaves/benefits. Prior experience dealing with ERISA, FMLA, HIPAA, ADA, COBRA, Workers' Compensation, DOL requirements and state regulations regarding benefits and leaves, preferred. License/Certifications: PHR, preferred. Software: Proficient in the use of Microsoft Office Suite, required. Experience working with Oracle HCM, preferred. Language: N/A Other Knowledge, Skills & Abilities: Excellent verbal and written communication skills, client service and organization skills. Solid organizational skills with the ability to meet project deadlines with a focus on details. Strong analytical and problem-solving skills along with attention to detail. Ability to successfully multi-task while working independently or within a group environment. Ability to work in a demanding, deadline-driven environment and handle multiple projects simultaneously. Capacity to build and maintain strong relationships with internal and external clients. Capable of maintaining confidential information and matters with discretion. Strong understanding of applicable federal and state regulations BDO firm-wide governing leave of absences. Strong working knowledge of HR policies and practices. Ability to communicate with all levels of leadership while providing a high level of customer service and confidentiality. Ability to adapt communication style to successfully convey messages and objectives to a diverse audience. Individual salaries that are offered to a candidate are determined after consideration of numerous factors including but not limited to the candidate's qualifications, experience, skills, and geography.
