PositionOverview: TheSeniorPayrollSpecialistisresponsibleformanagingpayrollactivitiesacrossallentitieswithinadesignatedregionofoperations.Thisroleensuresemployeesarepaidaccuratelyandontime,payrollpracticesarecompliantwithfederal,state,andlocallaws,andconsistentprocessesareappliedacrossOperatingCompanies(OpCos).TheSeniorPayrollSpecialistmustbewell-versedinADPWorkforceNow,servingasthearea’ssubjectmatterexpertandsuper-usertomaximizesystemfunctionality.Inaddition,thisrolesupportspayroll-relatedsetupfornewlyacquiredOpCos,coordinatespayrolltaxcleanupandcorrections,performstargetedpayrollaudits,documentsSOPs,andtrainsOpCocontactsonprocessesandprocedures. KeyResponsibilities: PayrollProcessing&Oversight WorkwithRegionalHumanResourcestomaintainaccuratetimekeeping. Administerandoverseefull-cyclepayrollforallOpCoswithintheassignedRegion. Reviewpayrollsubmissionsforaccuracyinhoursworked,earnings,deductions,taxes,andbenefitcontributions. Manageoff-cyclepayrollruns(bonuses,corrections,retroactiveadjustments). Reconcilepayrollregisterstofunding,taxes,andGLexports;managereversals/voidsandretropaycorrectionsasneeded. CoordinateADPfilefeeds/GLexportswithFinancetoensurecorrectlabordistributionandcostcentermapping. AcquisitionSetup&Onboarding(Payroll) Setupnew/acquiredOpCosinADPWorkforceNow(companycodes,paygroups,earnings/deductions,PTOpolicies,directdeposit,andGLmapping). PartnerwithHR,Finance,andOpColeaderstocollectandvalidateconversiondata;supportparalleltestingandfirst-livepayroll. Coordinatepayrolltaxsetupfornewstates/localities(SUI/SIT/local),ensuringcorrectratesandwork/residenttaxconfigurationsondayone. Compliance&Reporting Ensurepayrollpracticescomplywithfederal,state,andlocalwageandhourrequirements. Monitortaxfilings,garnishments,andotherrequiredwithholdingsinpartnershipwithPayrollManager. GenerateanddistributepayrollandlaborcostreportsforAreaandOpColeadershipusingADPreportingtools. Leadorsupportquarterlyandyear-endbalancing(941/940,W-2/W-2c,SUI)andassistwithhistoricaltaxcleanupandamendedreturnsasneeded. Maintainaccuratemulti-stateemployeetaxprofiles(resident/nonresident,reciprocity,andlocaltaxes). SupportResponsibilities ServeasthefirstpointofcontactforpayrollquestionswithintheassignedRegion. PartnerwithHR,Finance,andHQPayrolltoresolvepayrolldiscrepancies. TrainOpCotimekeepers/approversandpayrollcontactsontimelines,approvals,SOPs,andADPbestpractices;providerefreshertrainingaftersystem/processchanges. ProcessImprovement&Consistency DrivestandardizationofpayrollprocessesacrossOpCoswithintheassignedRegion. Identifyandimplementopportunitiestoimproveefficiency,accuracy,andinternalcontrols. Supportpayrollsystemupgrades,processchanges,andintegrations. Performperiodicpayrollaudits(timekeepingexceptions,paycodeusage,garnishmentsetup,taxconfiguration,andGLmapping)andremediatefindings. Create,publish,andmaintainSOPsanddeskguides;ensureversioncontrolandaccessibilityforOpCos. Qualifications: AssociateorBachelor’sdegreeinAccounting,Finance,HumanResources,orrelatedfield. 3–5yearsofpayrollexperience,preferablyinamulti-entity,multi-stateenvironment. Well-versedinADPWorkforceNowwiththeabilitytofullyutilizesystemfunctionalityforpayroll,reporting,andcompliance. Strongknowledgeofwageandhourlaws,payrolltaxregulations,andcompliancerequirements(includingquarter/year-endandW-2/W-2c). Experiencesupportingpayrollaspectsofacquisitions(entitysetup,dataconversion,first-livepayroll)preferred. AdvancedproficiencywithExcelandcomfortworkingwithdatasetsandreports. Strongattentiontodetailandabilitytomeetstrictdeadlines. Excellentinterpersonalandcommunicationskills;abletopartneracrossHQ,RegionalLeadership,andOpCoemployees. DemonstratedabilitytocreateSOPsandtrainothersonprocessesandprocedures.
