Volunteer Program Coordinator

Furniture Repair Bank (FRB) is a Seattle nonprofit that keeps furniture in circulation and provides essential home furnishings to neighbors transitioning into stable housing. Volunteers power our mission, and we’re looking for a highly organized, people-centered coordinator to help make their experience smooth, welcoming, and well-supported.

About the Role

The Volunteer Program Coordinator manages volunteer scheduling, onboarding, group bookings, communications, and day-to-day coordination across departments. You’ll help volunteers feel prepared and valued, ensure staff have clear visibility into coverage, and keep our volunteer-powered model running efficiently.

Key Responsibilities

Volunteer Scheduling & Coordination

• Manage daily scheduling, calendars, shift capacity, and CRM accuracy
• Send confirmations, reminders, follow-ups, and track attendance
• Verify waivers and ensure volunteers receive required info
• Match volunteer availability and skills with organizational needs
• Troubleshoot cancellations, no-shows, and last-minute changes
• Keep staff informed about volunteer coverage and upcoming needs

Group Volunteer Program Management

• Coordinate corporate, community, school, and other group volunteer visits
• Manage group inquiries, scheduling, confirmations, and follow-up
• Work with staff to assess capacity, staffing, and project readiness
• Ensure group sessions are well prepared, clearly communicated, and documented
• Support stewardship and repeat engagement

Volunteer Communications & Onboarding

• Serve as the main point of contact for volunteer questions
• Provide clear communication around expectations, safety, and arrival instructions
• Welcome and onboard new volunteers with required materials and guidance
• Support volunteer retention through warm communication and consistent follow-up

Internal Coordination & Continuous Improvement

• Work with department leads to understand weekly volunteer needs
• Plan ahead for large groups, schedule changes, and volunteer-heavy days
• Strengthen communication between scheduling, operations, and production

Qualifications

Required:

• 2+ years in volunteer coordination, program support, logistics, or similar roles
• Strong organizational, scheduling, and communication skills
• Ability to manage many moving pieces in a dynamic environment
• Experience with calendars, spreadsheets, databases, or CRMs
• Experience with Microsoft Office: Word, Excel, Outlook, Sharepoint

Preferred:

• Nonprofit or community-based volunteer coordination
• Experience with group volunteer programs
• Comfort in a warehouse/workshop environment
• Bilingual or multilingual skills

Schedule & Benefits

• 40 hrs/week , Mon–Fri with one Saturday + one evening monthly
