Salary Range: Longmont, CO: $60,000 to $75,000

 

Starting salary will depend on the employee’s work location, experience, qualifications, and demonstrated ability to independently perform the position’s responsibilities.

Position Summary

WHA’s training and marketing functions play an important role in connecting customers with our technical expertise, building strong client relationships, and supporting the company's continued growth. The Training and Marketing Specialist will contribute to these efforts by coordinating our established training programs, supporting marketing initiatives, and helping ensure clear, consistent communication with clients. This role is well-suited for an excellent communicator and relationship builder who enjoys collaborating with people across the organization, identifying opportunities to streamline processes, and finding effective ways to strengthen client engagement and support business development. The position will serve as a central point of coordination for marketing activities across WHA, helping organize and execute initiatives, maintain consistency across communications, and ensure ideas and opportunities move forward. The role will also coordinate training logistics and records, communicate directly with customers to understand their training needs and connect them with appropriate courses, and help strengthen the processes that support WHA’s training, marketing, and sales efforts.

Job Description

WHA is seeking a full-time Training and Marketing Specialist who is organized, detail-oriented, and people-focused. The ideal candidate enjoys working with others, takes initiative, and can manage multiple priorities without losing accuracy or attention to detail. This position provides day-to-day administrative support for technical training, marketing, and sales development activities and serves as a point of coordination among customers, instructors, consultants, and internal staff.

The successful candidate will manage course scheduling and registration, prepare training materials and communications, maintain learning and customer records, support email and digital marketing activities, and track assignments through completion. The role requires sound judgment, professional customer service, strong written communication, and consistent follow-through.

Primary Responsibilities

· Technical Training Administration:

o Schedule public and private training courses, coordinate instructor availability, and maintain accurate course calendars.

o Manage registrations, confirmations, prerequisites, attendance records, evaluations, certificates, and customer follow-up.

o Maintain course content, learner records, completion data, and access in the Learning Management System (LMS).

o Prepare and distribute course materials and coordinate virtual meeting access, facility needs, supplies, catering, and shipping when applicable.

o Track training metrics, including registrations, attendance, completion, evaluations, revenue-related data, and open follow-up items; prepare routine reports for management.

o Coordinate updates to course descriptions, schedules, pricing, and website or registration information after approval by the manager responsible.

· Marketing Support:

o Monitor and route website, email, telephone, and event inquiries to the appropriate sales or technical staff and track follow-up through completion.

o Maintain accurate and complete contact, company, lead, campaign, and activity records in approved customer and marketing systems.

o Support approved email campaigns, newsletters, social media scheduling, webinars, trade shows, and other outreach activities.

o Coordinate marketing efforts, including updates to the company website, course information, presentations, proposal support materials, and other approved marketing content.

o Compile routine marketing and sales-support metrics, including inquiries, campaign responses, training leads, registrations, and source data.

· Administrative and Coordination Support:

o Maintain organized electronic files, standard templates, distribution lists, calendars, and documented procedures for assigned activities.

o Proofread communications and verify names, dates, links, prices, and other details before release.

o Coordinate assignments across Training, Marketing, Sales, and technical teams and promptly raise overdue or unresolved items.

o Protect confidential company, customer, and employee information and follow WHA document-control, cybersecurity, and quality requirements.

o Identify recurring errors, delays, or process gaps and recommend and help implement practical improvements.

Qualifications

· Education:

· A bachelor’s degree in business, marketing, communications, office administration, or a related field is preferred. Relevant experience may substitute for formal education.

· Experience:

o Minimum of three years of progressively responsible experience in administrative support, training coordination, marketing coordination, sales support, customer service, or a related role. Five or more years of relevant experience is preferred.

o Experience supporting or coordinating work across multiple business functions, preferably involving training, marketing, sales, and customer service.

o Demonstrated experience independently managing detailed schedules, records, customer communications, competing priorities, and multiple deadlines.

o Experience using a Learning Management System (LMS), Customer Relationship Management (CRM) or customer database, email marketing platform, website content management system, or event registration system is preferred.

· Skills:

o Self-directed and results-oriented, with a strong sense of ownership and consistent follow-through.

o Resourceful problem solver who identifies issues, evaluates options, and takes appropriate action without waiting for detailed instructions.

o Capable of using AI tools to improve efficiency and support problem-solving.

o Independent and creative thinker who can develop practical approaches while recognizing when approval or escalation is required.

o Technically proficient and comfortable learning new software, troubleshooting routine system issues, managing information across multiple platforms, and helping users navigate online training and registration systems.

o Strong organizational skills, attention to detail, and ability to independently track work through completion.

o Clear, professional written and verbal communication skills and strong proofreading ability.

o Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, Teams, and SharePoint.

o Ability to learn and accurately use systems such as Moodle, WooCommerce, Constant Contact, and Airtable.

o Ability to work effectively with technical subject-matter experts and translate approved information into clear customer-facing communications.

o Ability to prioritize competing requests, recognize when an issue requires escalation, and meet recurring deadlines.

o Professional judgment when handling confidential information and communicating with customers.

Benefits & Work Hours Benefits and Work Schedule

Company-Paid Benefits: WHA pays 100% of the employee's medical, dental, vision, and life insurance premiums. WHA also provides paid parental leave and a 401(k) plan with a 3% company match.

Additional Benefits: Eligible employees may participate in a Flexible Spending Account for unreimbursed health, dental, and vision expenses. Supplemental disability, cancer, and accident insurance is available to employees and their families at a reduced employee-paid rate.

Work Schedule: The regular schedule is Monday through Friday from 8:30 a.m. to 5:00 p.m., 40 hours per week. Flextime and 9/80 schedules may be available with management approval.

Paid Time Off: PTO begins at approximately four weeks per year, with the amount based on years of service, plus 10 company-paid holidays.

Compensatory Time: Employees may accumulate compensatory time for hours worked beyond their regular full-time schedule in accordance with company policy.

Profit Sharing: Eligible employees may receive semiannual bonuses designed to recognize individual contributions and allow employees to share in company profits, subject to the applicable company plan and performance requirements.

Employment Requirements

• Must be authorized to work in the United States.

• Must be able to work at the assigned WHA location in Las Cruces, New Mexico, or Longmont, Colorado, as required for training and event coordination.

• Occasional schedule adjustments or travel may be required to support courses and events.
