Job Description

Position Summary
The Director, New Build & Project Procurement serves as Aspen Hospitality's accountable leader for project procurement execution across hotel developments, renovations, repositioning’s, and capital improvement projects. As the hospitality division subject matter expert on project procurement, this role leads the project procurement lifecycle — planning, budgeting, project-specific sourcing, contract negotiation, logistics, installation, and operational turnover — ensuring every project lands on time, on budget, and true to Nell Hotels, Limelight Hotels, and Mountain Club brand standards. 

This position is the primary liaison between Ownership, Aspen Hospitality CEO and third-party Purchasing Agents, and partners closely with the Aspen One Corporate Strategic Sourcing team, Design & Construction, Interior Design, Hotel Operations, Finance, Marketing, Project Managers, Architects, Contractors, and suppliers to align stakeholders, improve value, reduce risk, and standardize project procurement practices across a growing portfolio. The Director operates within established enterprise procurement policies, sourcing standards, approved supplier programs, and commercial frameworks while maintaining full accountability for successful project procurement execution and delivery.

Beyond individual projects, this role collaborates with Corporate Strategic Sourcing and Shared Services to align on enterprise procurement standards, strengthen strategic supplier partnerships, and advance Source-to-Pay (S2P) capabilities in Coupa. The role brings project requirements, pipeline visibility, supplier insights, and lessons learned into the broader FF&E/OS&E category strategy while maintaining clear accountability for successful project delivery. This role suits an experienced hospitality procurement leader with strong financial acumen, negotiation skill, and a passion for delivering world-class luxury environments. This position reports to the Aspen Hospitality CEO.

The salary range for this position is $134,500 - $170,000 plus sales incentive plan. Actual pay will be dependent on budget and experience; all our salaried roles are eligible for bonus.

Essential Job Functions/Key Job Responsibilities 
• Lead project procurement for new builds, renovations, repositioning’s, and capital projects within Hospitality, developing project strategies that balance design intent, operations, quality, schedule, and budget while aligning with enterprise category strategies, approved supplier frameworks, and set standards across the Enterprise
• Serve as primary liaison between Ownership and third-party Purchasing Agents, and partner with Design & Construction, Interior Design, Openings & Transitions, Hotel Operations, Finance, Marketing, architects, contractors, and vendors to deliver projects on time, on budget, and to brand standard
• Develop project procurement plans and acquisition strategies that support design intent, operational requirements, budget objectives, and project schedules while leveraging approved suppliers, contracts, and procurement standards where appropriate
• Manage procurement schedules so manufacturing, shipping, warehousing, delivery, and installation stay aligned with construction milestones, monitoring supplier performance and resolving delays, quality issues, and change orders as they arise
• Manage project supplier performance, escalations, delivery coordination, and issue resolution throughout the project lifecycle
• Ensure project procurement activity complies with company policy, approval authorities, financial controls, and established enterprise sourcing standards and supplier frameworks
• Support hotel teams through pre-opening, opening, renovation, and transition phases, resolving punch-list items and coordinating operational readiness
• Maintain project procurement documentation and support the transition of project specifications, contracted items, supplier data, and pricing into sustainable operational use. Partner with Corporate Strategic Sourcing and Shared Services to advance Source-to-Pay initiatives, catalogs, approval workflows, vendor data, and pricing agreements within Coupa
• Build project procurement dashboards and executive reporting on project status, cost savings, risk, and project-level supplier performance; provide relevant supplier performance insights to Corporate Strategic Sourcing for ongoing category management
• Drive process improvement, standardization, and value engineering across the Hospitality project procurement function, and document project procurement lessons learned and support continuous improvement of hospitality project delivery practices
• Ensure all project procurement activity is executed in accordance with Aspen One procurement policies, approval authorities, financial controls, and Source-to-Pay standards and lead project procurement planning sufficiently in advance of construction and opening milestones to support sourcing, manufacturing, logistics, and installation requirements
• Ensure all project procurement activities are executed through approved procurement systems (Coupa) and processes, providing project oversight of requisitions, supplier onboarding, purchase order requirements, budget tracking, compliance, and spend visibility
• Drive adoption of Coupa Supplier Information Management (SIM) processes and supplier onboarding requirements, ensuring suppliers are properly vetted, approved, and maintained within enterprise systems before engagement. Monitor compliance with preferred supplier programs, contractual obligations, and procurement governance requirements while maintaining accurate project documentation and audit readiness
• Ensure FF&E and OS&E procurement decisions are made with a lifecycle mindset, balancing design intent, project objectives, total cost of ownership, operational supportability, and long-term value while introducing new products, specifications, or suppliers, maintain accountability for the long-term sustainability of those decisions by ensuring items can be consistently sourced, replenished, and replaced throughout their useful life at competitive market pricing, while minimizing operational disruption, supplier concentration risk, and cost escalation
• Take on additional project procurement responsibilities and strategic development initiatives as the business evolves, in alignment with enterprise Procurement ownership and sourcing governance
• Other duties as assigned

Qualifications

Education & Experience Requirements
• Bachelor's degree or equivalent experience; MBA or advanced degree preferred
• 8+ years in strategic sourcing or procurement, with direct FF&E and/or OS&E experience in luxury hotel and restaurant environments 

Knowledge, Skills & Abilities
• Deep expertise in luxury hotel FF&E/OS&E procurement from design development through project completion, including reading drawings, specs, and finish schedules
• Strong grasp of hotel construction, renovation, and opening timelines, with experience running multiple concurrent capital projects
• Excellent project management, organizational skills, and attention to detail
• Strong financial acumen managing multi-million-dollar procurement budgets
• Advanced negotiation and vendor/relationship management skills
• Working knowledge of Coupa or similar S2P platforms and structured category management
• Ability to influence cross-functional stakeholders and executive leadership, earning trust to drive project decisions
• Proven ability to lead, develop, mentor, and delegate to teams while maintaining accountability
• Strategic, long-term thinking informed by market and competitive awareness
• Strong analytical and problem-solving ability
• Ability to travel to corporate office and hotel properties as needed

Work Environment & Physical Demands 
• Ability to reach, crouch, kneel, stand or be on your feet, kneel and bend for extended periods of time 
• Regularly work in adverse conditions and required to use protective equipment to prevent exposure to hazardous materials as well as an office environment and may be required to walk on slippery and uneven surfaces
