Position Title: Licensed In-House Transaction Coordinator

Location: In-Office | 4103 S. Texas Ave Suite 105, Bryan, TX 77802

Position Type: Full-Time | Salary Non-Exempt (35 Core Office Hours + Up to 5 Flex Hours)

Compensation: $40,000 – $50,000 Base Salary (DOE) + Performance Bonuses + Referral Fees

Reports To: Rachel Schwartz (Director of Operations)

Direct Working Partner: Greg Schwartz (Lead Agent)

Position Overview

We are hiring a detail-oriented, customer-focused, licensed real estate professional to serve as our in-house Transaction Coordinator (TC). You will be the operational engine of our business, handling contract-to-close workflows, drafting legal paperwork, managing compliance, and serving as the primary front-facing administrator for our buyers, sellers, and landlords.

Schedule & Work Structure

• In-Office Hours: 35 hours per week (7 hours/day, Monday–Friday) at our Bryan office.
• Flex Hours: Up to 5 hours per week reserved for time-sensitive evening or weekend contract drafting.
• Flex Schedule Perk: If no evening or weekend contract work is required during a given week, your work week remains 35 hours at full base pay.

Key Responsibilities

• Document & Contract Management: Draft representation agreements (buyer, listing, and lease listing agreements), purchase offers, counteroffers, amendments, and addenda using ZipForms and DocuSign under TREC/Texas REALTOR® guidelines. Summarize incoming offers for seller review.
• Pipeline Currency & Morning Huddles: Lead the daily transaction update during morning team meetings. Keep all checklists in KW Command Opportunities 100% up to date, and execute real-time handoffs (e.g., forwarding surveys to title/lender).
• Client & Vendor Communication: Serve as the primary administrative contact via group text/email alongside the Lead Agent. Schedule inspections, appraisals, and final walk-throughs while keeping clients informed on deadlines.
• Compliance & Payday Prep: Ensure all transactional documents pass KW Market Center compliance early and secure approved Disbursement Authorizations (DAs) sent to title prior to closing.
• Licensed Team Backup: Provide licensed backup support for occasional property access or showings in the Bryan-College Station area when the Lead Agent is unavailable.

Qualifications & Requirements

Minimum Requirements:

• Active Texas Real Estate License (TREC).
• 1+ years of experience in real estate, transaction coordination, real estate administration, or property management.
• Proven customer-facing experience with strong written and verbal communication skills.
• Proficiency with DocuSign or similar e-signature platforms.
• Local residency in the Bryan-College Station area with reliable personal transportation.
• Ability to pass a standard background check and provide professional references.

Preferred Qualifications:

• 3–4 years of experience in real estate or property management (handling 10+ files/year).
• Experience with ZipForms, Texas REALTOR® lease contracts, KW Command, and BCS MLS (Matrix).
• Proficiency in Google Workspace (Gmail, Drive, Docs, Sheets, Chat). Compensation, Benefits & Perks
• Base Pay: $40,000 – $50,000 / year (Salary Non-Exempt, paid bi-weekly).
• 100% Covered Licensing & Dues: We cover 100% of your BCSRAR/TAR/NAR board dues, BCS MLS fees, Supra eKEY access, KW office fees, and TREC continuing education.
