Position Summary
We are seeking a detail-oriented Client Billing Specialist responsible for preparing accurate and complete client invoices, maintaining client billing requirements, and assisting with collections.
The ideal candidate is highly organized, inquisitive, and a strong communicator who takes ownership of their work and follows through to resolution.
Key Responsibilities
- Prepare and review client invoices for accuracy and completeness.
- Verify all labor, materials, subcontractors, equipment, and miscellaneous charges are properly billed.
- Review job documentation and identify missing or inconsistent information.
- Work with internal teams to research and resolve billing discrepancies.
- Submit invoices and supporting documentation through client portals.
- Research and resolve client billing questions.
- Monitor assigned accounts and assist with collections to ensure timely payment.
- Maintain client billing information, tax status, contacts, and account requirements.
- Maintain client compliance requirements through third-party portals.
- Correct rejected invoices and resolve issues that may delay payment.
- Maintain accurate client files and databases.
- Cross-train within the Accounting department and provide support as needed.
Qualifications
- Strong attention to detail and organizational skills
- Excellent written and verbal communication skills
- Naturally inquisitive with strong problem-solving and follow-through
- Comfortable communicating with clients and internal teams
- Able to manage multiple priorities and deadlines
- Proficient with accounting systems, spreadsheets, databases, and online portals
- Prior billing, accounts receivable, or accounting experience preferred
- Experience with third-party work order and invoicing portals such as ServiceChannel and Corrigo is a plus
