Administrative Associate, Student Experience Location : Hickory, North Carolina Position Summary The Administrative Associate for Student Experience provides administrative and operational support for the Office of the Vice President for Student Experience and the broader Division of Student Experience. This role supports the daily functions of the Vice President’s office while assisting with coordination of divisional activities, communications, and operational processes that contribute to a positive and engaging student experience. Working closely with the Vice President and divisional leadership, the Administrative Associate helps ensure the efficient operation of the office by managing administrative tasks, coordinating meetings and communications, and assisting with divisional initiatives and projects. This position plays an important role in supporting collaboration across departments and helping maintain effective organizational processes within the division. Essential Duties and Responsibilities Administrative Coordination and Office Support Provide administrative support for the Office of the Vice President for Student Experience, including managing the Vice President’s calendar, scheduling meetings, and coordinating appointments. Prepare meeting agendas, documents, and materials for divisional meetings and leadership gatherings. Coordinate travel arrangements, process expense documentation, and assist with administrative workflows for the Vice President for Student Experience. Maintain organized records, files, and documentation related to divisional operations. Supervise and train student employees who support administrative duties within the office. Operational and Project Support Assist with coordinating divisional projects, initiatives, and activities that support student engagement, wellbeing, and belonging. Help track timelines, documentation, and progress related to divisional initiatives and projects. Support the preparation of reports, presentations, and materials for meetings and university communications. Division Coordination and Communication Assist with planning divisional meetings, retreats, and events and provide logistical support as needed. Support communication between the Office of the Vice President and departments within the Division of Student Experience. Help coordinate information sharing, scheduling, and administrative processes across divisional units. Required Education and Experience High school diploma required; associate or bachelor’s degree preferred. Demonstrated experience in administrative support, office coordination, or operational assistance. Strong organizational skills with the ability to manage multiple tasks and deadlines. Excellent written and verbal communication skills. Ability to maintain confidentiality and exercise sound professional judgment. Proficiency with standard office technology and software applications. Preferred Qualifications Experience working in higher education, student affairs, or a related environment. Experience supporting administrative leadership or coordinating office operations. Additional Requirements and Expectations Prolonged periods of sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times. Ability to travel with students, faculty, and staff throughout campus. Standard office hours Monday-Friday 8 a.m.-5 p.m., with occasional evening and weekend based on demand.
