Executive Sales Coordinator

We are seeking a proactive, highly organized, and detail-oriented Executive Sales Coordinator to support both our CEO and sales team in driving growth and delivering exceptional client experiences. This role combines executive support, sales coordination, and customer communication, making it ideal for someone who thrives in a fast-paced, high-energy environment and enjoys wearing multiple hats.

Key Responsibilities:

  • Executive Support: Manage calendars, coordinate meetings, assist with scheduling, and provide administrative support to the CEO/Founder to ensure efficiency and organization.
  • Sales Coordination: Support the sales team with prospecting research, CRM management, sales reporting, sponsor tracking, proposal preparation, and follow-up communications to help drive revenue and accountability.
  • Customer Engagement: Support sponsor, and client communications by responding to inquiries, scheduling calls, and ensuring timely and professional follow-up. Help nurture relationships with prospective and current partners.
  • Data & CRM Management: Maintain accurate records within HubSpot and other systems, track sales and sponsor activity, generate reports, and help analyze trends and opportunities.
  • Operational Coordination: Assist with cross-functional coordination between sales, marketing, and operations teams to support seamless conference execution and client experience.

 

Requirements:

  • 3–5 years of experience in executive support, sales coordination, conference operations, or a related client-facing role.
  • Full-time position; must be available to work in-office four (4) days per week in Lakewood, NJ.
  • Strong organizational and time management skills with exceptional attention to detail.
  • Proactive, hands-on self-starter with strong follow-through and problem-solving abilities.
  • Excellent written and verbal communication skills with a polished and professional demeanor.
  • Ability to manage multiple priorities and thrive in a fast-paced, high-energy environment.
  • Proficiency in Microsoft Office Suite and CRM platforms (HubSpot preferred).
