Medical Records Management (50%)

• Maintain Electronic Health Records (EHR) : Create, update, and manage electronic and paper files for all new admissions.

• Conduct Documentation Audits : Perform routine checks on active and closed charts to ensure state compliance and timeliness of physician signatures.

• Manage Discharge and Thinning : Streamline current active charts according to facility policy and systematically organize overflow data.

• Process Information Requests : Act as the primary gatekeeper for legally authorized medical record disclosures, adhering strictly to HIPAA privacy guidelines .

• Coordinate Care Transitions : Assemble, verify, and securely close out clinical records upon resident discharge or death.

Central Supply Coordination (50%)

• Inventory Control : Audit and track daily stock levels in the central supply room and various nursing unit utility stations.

• Vendor Procurement : Place authorized supply orders with approved healthcare vendors while strictly managing the monthly facility budget.

• Logistics & Delivery : Receive shipments, crosscheck packing slips, organize storage bins, and physically distribute medical stock to floors.

• Equipment Maintenance : Inspect, clean, track, and safely store major specialty hardware, including IV poles and oxygen concentrators .

• Emergency Preparedness : Audit and replenish emergency crash carts daily to maintain immediate facility crisis readiness.

Qualifications & Skills

• Education : High School Diploma or equivalent required; some healthcare administration coursework preferred.

• Licensure : Certified Nursing Assistant (CNA) designation is highly preferred, but not mandatory, to ensure a strong grasp of clinical items.

• Experience : Minimum of 1–2 years working in an administrative or supply role within a long-term care or SNF environment.

• Technical Skills : Proficiency with standard nursing home EHR software (such as PointClickCare) and Microsoft Office.

• Physical Demands : Ability to lift up to 35–50 pounds, push supply carts, and remain on your feet for extended periods.
