Case Manager – Estate Planning

Safeguard Estate Planning is seeking a highly organized, personable, and dependable Case Manager to join our Scottsdale office.

Our Case Managers play an important role in the client experience. You will work directly with clients throughout the estate planning process, helping them complete necessary information, coordinating appointments and documentation, answering questions, and making sure each client continues moving smoothly through the process.

This is an excellent position for someone who enjoys working with people, is extremely organized, communicates well, and takes ownership of getting things done.

What You'll Do

• Serve as a primary point of contact for estate planning clients throughout their case.
• Welcome and onboard new clients after they begin the estate planning process.
• Guide clients through completing required information and documentation.
• Communicate with clients by phone, email, and text regarding outstanding items and next steps.
• Schedule and coordinate client appointments.
• Prepare and organize files and documentation for client meetings.
• Track cases and proactively follow up with clients to keep them moving forward.
• Assist clients with questions and escalate legal or complex matters to the appropriate team member.
• Coordinate with attorneys, advisors, and other Safeguard team members.
• Maintain accurate and detailed client records in our systems.
• Assist with the preparation and execution of estate planning documents.
• Participate in document signing appointments as needed.
• Provide a professional, welcoming experience for clients from beginning through completion.
• Perform additional administrative and client-service responsibilities as needed.

• Proactive approach—you notice what needs to be done and follow through.
• Comfortable learning new software and technology.
• Dependable, professional, and able to work effectively as part of a team.
• Previous experience in case management, estate planning, a law office, financial services, client services, healthcare administration, or another detail-oriented professional environment is a plus.
• Estate planning experience is helpful but not required . We will train the right person.

Notary Requirement

The successful candidate will be required to become an Arizona Notary Public within the first 90 days of employment.

Safeguard will provide guidance regarding the process. The employee must be eligible to obtain and maintain an Arizona Notary commission as part of the position.

Schedule

Full-Time, Monday–Friday
This is an in-office position at our Scottsdale location.
