Event & Program Operations Coordinator

We are seeking an adaptable and highly organized Event & Program Operations Coordinator to support critical customer engagements within Abbott's Electrophysiology division. This role will help coordinate meetings, events, presentations, and related programs while also supporting the tracking, reporting, and operational processes behind these engagements.

This is an exciting opportunity to join a growing team that is building new processes and systems from the ground up. The ideal candidate is someone who can think on their feet, investigate problems, learn quickly, and help determine "how do we figure this out?" rather than simply follow an established process.

The successful candidate will work closely with cross-functional teams, vendors, healthcare professionals, and internal stakeholders to coordinate events and develop effective processes, tracking tools, and databases.

Location: Plymouth, MN Fully Onsite

Pay Rate: $23$27/hour

Duration: Contract; potential for extension or conversion, but not guaranteed

Key Responsibilities

• Coordinate the planning and execution of internal and external healthcare meetings, events, and presentations.
• Work with Product Marketing, Clinical Marketing, Product Development, Global Communications, and other stakeholders to support business objectives.
• Coordinate event logistics, registration, communications, attendee management, and program close-out activities.
• Support venue sourcing and coordination with external vendors for event-related services and materials.
• Manage and maintain CRM systems, databases, tracking tools, and reporting infrastructure.
• Build and improve processes for tracking engagements, attendees, program activities, and reporting metrics.
• Assist with financial tracking, invoice processing, internal cross-charging, financial summaries, and attendee evaluations.
• Coordinate reporting and identify opportunities for process improvement.
• Work with Legal and Compliance teams to ensure events are executed in accordance with company policies and applicable regulations.
• Support physician contracting and engagement tracking as required.
• Utilize systems such as Global Pre-Approval System (GPAS) for event approvals and engagement tracking.
• Monitor data and systems to ensure accuracy, consistency, and process integrity.
• Help create new guidelines, workflows, and processes when established procedures do not yet exist.
• Collaborate with employees, customers, contractors, vendors, and cross-functional partners at various levels of the organization.
• Take on new projects and responsibilities as the team continues to develop and establish its operating model.

Required Qualifications

• Bachelor's degree required.
• Strong organizational and project management skills.
• Excellent written and verbal communication skills.
• Highly adaptable and comfortable working in an evolving environment.
• Ability to investigate issues, solve problems, and figure things out independently.
• Comfortable creating processes and workflows rather than simply following established procedures.
• Strong attention to detail and ability to manage multiple priorities simultaneously.
• Experience managing high-profile audiences, attendees, customers, executives, healthcare professionals, or similar stakeholders.
• Experience working with CRM systems, databases, or other tracking/reporting tools.
• Basic to intermediate proficiency with Microsoft Excel, PowerPoint, Word, and Outlook.
• Strong collaboration and teamwork skills.
• Willingness to learn new systems, tools, and processes.

Preferred Qualifications

• Experience coordinating corporate, healthcare, medical, customer, or professional events.
• Experience working with vendors and external partners.
• Experience supporting regulated or compliance-driven environments.
• Experience with event registration platforms, CRM systems, or engagement-management tools.
• Experience working with cross-functional teams.
• Healthcare, medical device, pharmaceutical, or life sciences industry experience is a plus.
• Familiarity with compliance, Legal, or regulatory processes is a plus.
