POSITION SUMMARY

The Receptionist/Sales Coordinator is responsible for being the first line of communication for W.D. Matthew’s customers, vendors and employees. This position requires a proper balance of answering and transferring phone calls, greeting walk-ins and completing various administration and sales tasks as needed. This position is responsible for supporting efforts within the sales department including product and vendor research, preparation of quotes, completion of orders and order tracking. This includes ensuring customer satisfaction and retention by following up with sales staff, vendors and customers on all open transactions. This position is heavily customer-facing and spends a significant amount of time handling customers via phone and email. The Receptionist/Sales Coordinator requires a high level of customer service, computer skills, multi-tasking and organizational abilities. This position requires an associate’s degree and two years of experience in an office or administrative role.

 

ESSENTIAL DUTIES AND RESPONSIBILITES

· Answer, screen and transfer inbound phone calls

· Maintain headcount of employees in office and follow safety protocols when necessary

· Greet and direct visitors and clients

· Create, organize and maintain records

· Work with customers both in person or via phone calls to assist with inquiries, order placement or making referrals to territory sales staff for follow-up assistance

· Daily quoting of allied equipment for internal and external sales staff

· Work with outside sales staff to support requests for information, quotes, order status, etc.

· Continual development of product knowledge and understanding to support sales efforts

· Identify and work with management to resolve customer concerns

· Work with team to achieve sales goals

· ERP System Responsibilities: purchasing document processing, supporting documentation, customer invoicing document processing and monthly reconciliation

· Work closely with logistics to ensure timely delivery of units

· Other duties as assigned

 

EXPERIENCE AND SKILL REQUIREMENTS:

· Strong computer skills and knowledge of Microsoft office

· Two years of experience in an office or sales role

· Knowledge of clerical and administrative procedures and systems such as filing and record keeping

· Strong communication, organizational, multitasking and customer service skills

· Problem assessment and solving skills
