Payroll Assistant

North Texas Natural Select Materials LLC is seeking an experienced Payroll Assistant to support our Payroll Manager and assist with the accurate and timely processing of weekly payroll for both office and field employees.

The ideal candidate will have at least 23 years of hands-on payroll processing experience , strong attention to detail, experience correcting and reviewing employee timecards, and the ability to communicate effectively with managers and field employees.

MUST BE Bilingual English/Spanish for this position.

Key Responsibilities

• Assist with and actively participate in the processing of weekly payroll accurately and on time.
• Review employee timecards each week for accuracy, missing punches, incorrect hours, and other discrepancies prior to payroll processing.
• Make authorized timecard corrections and adjustments.
• Generate and distribute daily missing punch and timecard exception reports to managers.
• Follow up with managers to obtain corrections and approvals before weekly payroll deadlines.
• Enter and maintain payroll and employee information within payroll systems.
• Assist employees with questions regarding paychecks, hours worked, deductions, and payroll discrepancies.
• Communicate with Spanish-speaking field employees regarding payroll questions and help resolve payroll-related issues.
• Assist with setting up new hires in the company's clock-in/clock-out and timekeeping systemand UKG use in the field.
• Provide employees with assistance related to timekeeping login or clock-in issues.
• Understand and review employee benefit deductions, including medical, dental, vision, voluntary benefits, HSA, and other payroll deductions.
• Assist with401(k) payroll deductions and vendor contribution imports/uploads.
• Reconcile payroll information and identify discrepancies requiring correction.
• Maintain accurate payroll records and supporting documentation.
• Provide ongoing administrative and payroll support to the Payroll Manager.
• Assist Human Resources with employee data entry, onboarding, payroll-related documentation, and other HR responsibilities as needed.
• Maintain confidentiality of employee, payroll, and company information.

Qualifications

• 23 years of payroll processing experience required, including experience processing weekly payroll.
• Bilingual in English and Spanish required.
• Previous experience reviewing, correcting, and adjusting employee timecards.
• Experience communicating with supervisors and managers regarding missing punches and timekeeping corrections.
• Experience researching and resolving employee payroll discrepancies.
• Strong data-entry skills with a high level of accuracy.
• Understanding of payroll deductions and employee benefits.
• Experience processing or importing 401(k) contribution files to retirement plan vendors.
• Strong organizational and follow-up skills.
• Ability to meet strict weekly payroll deadlines in a fast-paced environment.
• Excellent communication and customer-service skills when assisting employees and managers.
• Ability to handle confidential employee information appropriately.
• Experience with timekeeping systems, payroll systems, and HRIS platforms.
• Proficient with Microsoft Outlook, Word, Excel, and general computer systems.

Preferred Experience

• Experience using UKG Pro and/or UKG Workforce Management .
• Experience using QuickBooks Desktop .
