About Us

Covert Special Investigations is a multi-state private investigation firm with more than 20 years of experience specializing in insurance investigations, process serving, surveillance, background investigations, and specialized investigative services. We work with insurance carriers, law firms, corporations, and private clients to uncover facts and solve complex problems.

We are seeking a motivated, detail-oriented Administrative Assistant with an inquisitive nature and an interest in investigative work. This position is designed as an entry point into the investigative field and offers hands-on exposure to real-world investigations, research techniques, case management, and investigative support.

This is not a typical administrative position. We are looking for someone who enjoys solving problems, learning new systems, finding answers, and asking questions.

This role will begin as a part-time position with a minimum schedule of 20 hours per week, with the potential for increased hours, expanded responsibilities, and long-term advancement opportunities as the company and position continue to grow.

Position Overview

The Administrative Assistant / Junior Investigator supports the daily operations of Covert Special Investigations by assisting with client communications, case intake, file management, research, and investigative support activities.

The ideal candidate is organized, resourceful, comfortable speaking with people, and naturally curious. An interest in investigations, criminal justice, legal services, insurance, or law enforcement is highly desirable.

As our company grows, this position is expected to evolve and expand based upon company needs and employee strengths.

Primary Responsibilities

Responsibilities may include, but are not limited to:

Professionally answer incoming phone calls and serve as the first point of contact for clients and prospective clients

Route calls and messages appropriately while creating a positive first impression

Review and process incoming assignments received by phone and email

Enter and manage process serving assignments in case management software

Assist with investigation file intake and case setup

Request police reports and follow up with law enforcement agencies

Prepare and organize investigative correspondence and documentation

Assist with mailing letters and case-related documents

Maintain organized electronic files and documentation

Conduct internet and database research

Learn skip tracing and locating techniques

Research law firms and business contacts for marketing efforts

Enter and maintain client data within CRM systems including HubSpot

Assist with special projects and operational support as needed

Support general office organization and day-to-day office functions

Qualifications

Strong communication and customer service skills

Strong attention to detail and organizational skills

Ability to manage multiple responsibilities simultaneously

Strong problem-solving and critical-thinking abilities

Comfortable learning and using technology and software platforms

Resourceful and self-motivated

Professional written and verbal communication skills

Naturally curious with an investigative mindset

Preferred but not required:

Administrative experience

Customer service experience

Criminal justice, investigations, legal, or insurance background

CRM or case management software experience

Research experience

Spanish-speaking ability is a plus

Schedule: Minimum 20 hours per week with flexible scheduling options and opportunity for expanded hours based upon workload, performance, and company growth.
