Director of Finance and Administration

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Director of Finance and Administration based in the United States.

This is a senior operational leadership role supporting the financial and administrative infrastructure of a mission-driven nonprofit organization.
The Director of Finance and Administration will oversee finance, grants, contracts, and core administrative systems that enable effective organizational operations.
Working closely with executive leadership, staff, and external partners, this role will provide financial visibility and operational discipline across the organization.

Accountabilities

• Oversee organizational administration, including relationships with external payroll and HR providers, benefits, PTO tracking, performance reviews, onboarding and offboarding processes, shared information systems, records, policies, and compliance documentation.
• Manage administrative systems, subscriptions, IT-related tools, contractors, vendors, team meeting logistics, and organizational retreats while ensuring services are delivered effectively and efficiently.
• Lead incoming and outgoing grant administration, including pre- and post-award processes, grant tracking, deliverables, reporting deadlines, recordkeeping, payments, and financial reporting for regranting and subaward activities.
• Manage contracts with consultants, subrecipients, vendors, and other external partners, ensuring accurate documentation, timely execution, monitoring, and close-out.
• Oversee external bookkeeping and accounting services and ensure strong financial controls, accurate records, and efficient financial operations.
• Lead the annual organizational budgeting process and provide monthly budget tracking, quarterly reporting, and financial information to leadership and the Board.
• Monitor expenditures against grant budgets, prepare financial reports for internal stakeholders and funders, and oversee expense coding, allocations, reimbursements, and monthly reporting.
• Ensure compliance with financial policies, applicable laws, regulations, grant requirements, and internal control standards.
• Develop and improve organizational policies, procedures, workflows, and systems to strengthen operational efficiency and compliance.
• Support executive and Board activities by providing accurate operational and financial information, reports, and materials as needed.

Requirements

• 10+ years of relevant experience managing financial functions and organizational administration, ideally within a nonprofit environment.
• Demonstrated experience with financial processes, grant budgets, grant accounting, contracts, and financial reporting; experience managing restricted funding is a plus.
• Strong understanding of nonprofit operations, administration, accounting, compliance, and organizational systems.
• Proven ability to independently manage complex finance and administrative functions from planning through execution.
• Strong organizational, project, and task-management skills, with exceptional attention to detail and the ability to manage competing priorities and deadlines.
• Excellent interpersonal, written, and verbal communication skills, with the ability to collaborate effectively with executives, staff, contractors, vendors, and external partners.
• Proficiency with Microsoft Office, particularly Excel, and confidence working with cloud-based administrative, financial, and collaboration tools.
• Familiarity with Microsoft platforms, QuickBooks, Monday.com, or comparable project and financial management systems is preferred.
• Demonstrated initiative, sound judgment, flexibility, and a hands-on approach to solving operational challenges.
• Ability to work independently while contributing effectively within a collaborative, virtual, mission-driven environment.
• Must be based in the United States, legally authorized to work in the U.S., and available during standard business hours within a continental U.S. time zone.
