Senior Property Manager

JOB SUMMARY The Senior Property Manager is the senior-most property-level role within the division. This position is for experienced professionals who consistently demonstrate the judgment, technical expertise, and leadership necessary to independently manage the firm's most demanding property assignments. The Senior Property Manager is accountable for the financial performance, operational execution, physical condition, and tenant satisfaction of an assigned portfolio that may include office, retail, flex, and industrial assets. Assignment to this role is based on demonstrated capability rather than portfolio size alone. Senior Property Managers are entrusted with properties and ownership groups requiring a high degree of independent decision-making, sophisticated financial and operational management, and the ability to navigate complex stakeholder relationships. Portfolios may include assets with institutional or third-party ownership, joint ventures, mixed-use developments, active redevelopment or lease-up, newly acquired properties, unique lease structures, or enhanced reporting and governance requirements. However, no single asset characteristic defines the role; rather, the distinguishing factor is the level of professional expertise and judgment required to successfully manage the assignment. The Senior Property Manager is expected to operate with a high degree of autonomy and to exercise independent judgment on matters a Property Manager may accelerate. The role serves as a subject matter resource to Property Managers and Assistant Property Managers across the division, and may include direct supervision of Assistant Property Managers or Property Coordinators where the team structure supports it. JOB ESSENTIAL RESPONSIBILITIES- Financial Management Develop and manage annual operating and capital budgets in partnership with Asset Management, and ensure alignment with ownership and client objectives. Confirm that annual CAM and NNN reconciliations are completed accurately and on schedule for the assigned portfolio, and participate in the process led by Lease Administration as needed, including resolution of tenant questions, disputes, and audit requests. Analyze monthly financial performance, explain variances against budget, and implement corrective action to meet revenue and expense targets. Review and approve payables within budget parameters, and identify spending trends that place the budget at risk before they become variances. Lead collections for the assigned portfolio, resolve escalated delinquencies directly with tenant decision makers, and manage default proceedings through resolution. Review real estate tax assessments, identify properties warranting appeal, and coordinate and assist with the appeal process under Asset Management direction, working with accounting and outside tax consultants where engaged. Prepare and present ownership and client reporting packages, including written explanation of performance, risks, and recommended action. Tenant Relations & Lease Administration Serve as the senior relationship owner for tenants in the assigned portfolio, with accountability for satisfaction, responsiveness, and retention outcomes. Maintain command of every lease in the portfolio, including recovery structures, exclusions, options, and critical dates, in enough depth to identify issues early and act on them, working in partnership with Lease Administration as needed. Oversee lease compliance, including insurance tracking, billing accuracy, and critical date management. Support leasing by supplying operating data and cost assumptions for proposals, and advise leasing and asset management on the operational and expense implications of proposed deal terms. Coordinate tenant move-ins, move-outs, and build-outs, ensuring adherence to lease terms, design standards, and applicable regulations. Facilities & Operations Determine and enforce property-specific operating standards within the division framework, including its established processes and forms, so that properties are well-maintained, safe, and visually appealing to a standard representative of the company’s mission and brand. Lead vendor sourcing and competitive bidding for property services, and take agreements through the contract process with the in-house contracts team using the company form agreements. Onboard vendors, oversee provider performance, and enforce compliance with contract and insurance requirements. Direct routine and preventative maintenance programs, inspections, and emergency procedures in coordination with building engineering and third-party vendors and contractors. Maintain building records, site plans, lease documents, and operational guidelines. Monitor and optimize utility consumption, sustainability initiatives, and compliance with regulatory requirements while ensuring adherence to applicable ESG initiatives. Capital Projects, Transitions & Risk Management Identify and scope capital improvement needs, develop recommendations and supporting cost analysis for Asset Management review, and manage approved projects to completion within budget and schedule. Lead the bid and award process for capital and major repair work in coordination with the construction and asset management teams. Serve as the property management lead for transitions of assets into and out of the portfolio, including due diligence, records and systems onboarding, tenant notification, and coordination with internal departments, brokers, and attorneys. Maintain and update accurate property documentation following project completion and at each transition. Develop and implement risk management strategies, including security, fire safety, and emergency preparedness and response. Ensure compliance with state, federal, and local safety regulations. Serve as the property-level lead during emergencies and casualty events, and manage post-incident review, remediation, and insurance claim coordination with the insurance representative. Leadership & Collaboration Serve as the primary point of contact for ownership, third-party clients, tenants, vendors, and internal stakeholders. Prepare and present property performance updates, operating strategy, and recommendations to the Regional Director, Asset Management, and ownership or client representatives. Provide regular reports on property performance, tenant relations, and operational updates. Serve as a subject matter resource to Property Managers and Assistant Property Managers across the division, supporting onboarding, training, and escalated issue resolution. Supervise Assistant Property Manager(s) or Property Coordinator(s) where assigned, including delegation, performance oversight, and professional development. This responsibility may be assigned or expanded as portfolio needs and team structure change. Partner with asset management, leasing, construction, lease administration, accounting, and legal teams to align operational execution with broader asset strategy. Contribute to division-wide initiatives, including policy development, systems implementation, and process improvement. KNOWLEDGE, EXPERIENCE, SKILLS/ABILITIES Education: Bachelor’s degree preferred, or equivalent experience. Experience: Minimum of ten years in commercial property management, including direct responsibility for complex, institutionally owned, or third-party managed assets, with a track record of success. Certifications: CPM, RPA, or CFM designation preferred. Technical Proficiency: Experience with real estate software such as MRI, Yardi, Nexus, or Avid; proficiency in Microsoft Office suite, including the ability to build and interpret financial reporting. Project Management: Understanding of construction processes, lease administration, budgeting, and reconciliations. Judgment & Autonomy: Demonstrated ability to work independently, exercise discretion on matters of significance, and resolve issues that would ordinarily be escalated to a supervisor. Communication & Leadership: Strong negotiation, written, verbal, and interpersonal skills with a client-focused mindset; ability to lead through influence across departments and to guide, mentor, and develop less experienced team members. Travel: Valid driver’s license and ability to travel between properties by car or plane as needed. PHYSICAL REQUIREMENTS Primarily office-based with frequent travel by car or plane for on-site property visits required. Ability to navigate construction sites and perform physical tasks such as light lifting ( Required to travel outside between buildings in varying outdoor weather conditions. Regularly use hands to operate various office equipment, and the ability to walk, talk, and hear.
