Medical Assistant Reports To: Clinic Director Facility: ProVia Health and Wellness Clinic Location: New Philadelphia, Ohio Hours: Full-time, 40 hours per week, in person Job Summary The Medical Assistant is a central member of the ProVia Health and Wellness Clinic team, supporting safe, efficient, relationship-based care in a direct primary care setting. This role combines hands-on clinical support, thoughtful care coordination, and highly responsive service for patients and their families. The Medical Assistant helps each visit feel organized, personal, respectful, and unhurried while enabling clinicians to work at the top of their scope. The clinic will be owned by ProVia and developed and operated by Branches Healthcare. The Medical Assistant must protect the trust that makes this model work: clinical information is confidential and is not shared with the employer without the patient's appropriate authorization, except as required by law. Patient Experience Commitment: Every interaction should leave the patient feeling welcomed, heard, informed, and confident that the clinic team will follow through. The Medical Assistant is expected to anticipate needs, communicate clearly, reduce friction, and take ownership of closing the loop. Physical Requirements The role regularly requires standing, walking, sitting, reaching, bending, fine motor activity, and communicating in person and through technology. The Medical Assistant must be able to assist with patient positioning and mobility, move routine clinical supplies and equipment, and perform repetitive clinical and computer tasks. - Create a welcoming first impression. Greet patients warmly, use preferred names, maintain privacy, and help every person feel comfortable and respected.
- Guide the entire visit. Explain what to expect, provide timely updates, identify questions or concerns, and make smooth handoffs among team members.
- Listen and respond with empathy. Recognize verbal and nonverbal cues, adapt communication to the patient's needs, and escalate clinical concerns promptly.
- Take ownership of follow-through. Track open items, return messages within established service standards, and confirm that patients understand next steps.
- Protect trust and confidentiality. Safeguard protected health information and reinforce the separation between confidential clinical care and the patient's employment relationship.
- Support access. Help patients use phone, portal, scheduling, and other clinic access channels with minimal delay or confusion.
- Prepare for visits. Review schedules, complete pre-visit planning, identify needed records or preventive care gaps, and prepare rooms and supplies.
- Room patients accurately and efficiently. Obtain and document vital signs, medication lists, allergies, health histories, screening information, and the reason for visit.
- Assist clinicians. Support examinations, treatments, minor procedures, preventive care, and patient education as directed.
- Perform approved clinical tasks. Complete phlebotomy, specimen collection and processing, point-of-care testing, electrocardiograms, injections, immunizations, and other tasks only when trained, authorized, and permitted by applicable policy and scope.
- Reinforce care plans. Review clinician instructions, confirm patient understanding, and provide approved educational materials without independently diagnosing or changing the plan of care.
- Maintain a safe clinical environment. Follow infection prevention, cleaning, disinfection, sterilization, medication handling, and sharps and biohazard procedures.
- Maintain readiness. Stock exam rooms, monitor supply levels and expiration dates, and promptly report equipment or safety concerns.
- Coordinate care. Support referrals, diagnostic testing, outside records, prior authorization workflows when applicable, and follow-up with specialists and community resources.
- Manage team communications. Route calls, portal messages, refill requests, results, and clinical questions according to clinic protocols and urgency standards.
- Document with precision. Enter complete, timely, and accurate information in the electronic health record and correct errors through approved procedures.
- Support population health. Assist with preventive outreach, chronic condition follow-up, care-gap closure, and patient engagement initiatives.
- Contribute to daily flow. Monitor schedules, anticipate bottlenecks, communicate delays, and help the team adjust while preserving a calm patient experience.
- Improve the clinic. Participate in huddles, training, quality improvement, service recovery, and readiness activities; raise risks and improvement ideas early.
- Work as one team. Provide cross-coverage for appropriate front-office and clinical functions and perform other duties consistent with the role and clinic needs.
- Education: High school diploma or equivalent required; completion of an accredited medical assisting program preferred.
- Credentials: Current Basic Life Support or CPR certification required by start date or within the timeframe established by clinic policy. CMA, RMA, CCMA, or equivalent credential preferred.
- Experience: Prior medical assistant or ambulatory care experience preferred. Experience in primary care, family medicine, internal medicine, or a relationship-based clinic model is a plus.
- Technical skills: Comfort with electronic health records, secure messaging, basic office technology, accurate data entry, and clinical workflows.
- Professional requirements: Ability to complete required background checks, health screenings, training, and competency validation.
