Our team remains laser-focused on one goal - making the world a safer place.Job Summary: The Contract Coordinator is responsible for managing the contract/purchase order requirements of multiple projects at once, working directly with project managers, subcontractors, and customers in a professional manner.Pay Range: $23.00/hour - $31.00/hour. The posted salary range reflects the anticipated hiring range for this position at the time of posting and is provided in accordance with applicable pay transparency laws. Actual starting pay will be determined based on job-related factors, including the candidate's qualifications, experience, skills, education, internal equity, geographic location (where applicable), and market considerations. Not all candidates will be hired at the top of the posted range. The posted range reflects base salary only and does not include any applicable bonuses, commissions, overtime, or the value of employee benefits. Eligible employees may participate in the Company's benefit programs, subject to the terms and eligibility requirements of each plan.Location/Schedule: This is an onsite role at our office in Alsip, IL. To facilitate a schedule that includes an early start to every weekend, some lunch periods are shortened during the week.Key Responsibilities:Ensure that jobs are loaded correctly into the ERP systemsAssist in compiling information for prequalification documentsApply for Certificate of Insurance as needed for projectsApply for Bid Bonds and Project Bonds as neededEnsure that jobs are invoiced correctly and in a timely mannerMonitor job cost daily and report to Project Managers and General Manager jobs that are failing to meet budgeted marginsMonitor over and under billing status and advise the General Manager on underbilled projectsEnsure accuracy of job budgets and revise as necessaryConduct Job Cost meetings as requiredOversee all purchasing activity for projects and review all open PO's on periodic basisManager and reconcile Petty Cash disbursementsOrganize and Prepare billing documentationMaintain complete customer and other departmental files; collect and catalogue designs and billing informationPrepare productivity analysisContinuously compare contract documents to the dollar amount entered in the account system and resolve any deviationEnsure that job dollar values are neither over or under valued or reportedReview contract language and payment termsManager new job set upComplete paperwork and update worksheets and reports related to division activity in a timely mannerEngage in weekly Project Management meetingsOther duties as assigned.What We Are Looking For:High School Diploma or GEDAccounting or other business degree is preferred.5+ years' experience in accounting or equivalentTwo years or more of construction contract administration experience is requiredSound understanding of contracting principlesKnowledge and experience with percentage completion job cost accounting principlesKnowledge of construction contract languageKnowledge of sales and use tax lawsExperience working with ERP systems and job cost accounting JD Edwards Enterprise One experience is preferred but not required.Knowledge of pre-lien and lien processesAbility to create invoices in an AIA formatSolid written and verbal communication skillsAbility to work with a positive attitude under pressure and without supervision to meet contractual deadlines.Proficient in Microsoft Office products; Word, Excel, Outlook, etc.Hiller is a drug-free workplace, an equal opportunity employer and ADA compliant.We are proud to operate according to our Core Values: Put People First, Empower the Branches, Earn Customer Trust, Embrace the Challenge and Act with Integrity.Most employee benefits start from the first day of employment, including:Competitive compensation package, including pay advancement opportunities for industry certifications and continuing educationComprehensive benefits package, including health, dental & vision insurance, retirement plans, company paid & voluntary life insurance, company paid short-term disability, voluntary long-term disability, critical illness & accident insurance and paid time offCompany-provided training, tools and equipment, including $150 annual boot allowance for employees required to wear safety boots in their jobsCareer advancement potential within a growing company.Join us in our mission to provide comprehensive fire protection solutions and peace of mind to our customers and together let's make the world a safer place.
