We are seeking a friendly, dependable, and customer-focused

Administrative Assistant / Front Desk Receptionist

to provide front-facing administrative support at City Hall. As the primary point of contact, you will greet visitors, answer incoming calls, and assist residents with general inquiries in a welcoming and professional manner. This is an excellent entry-level opportunity for individuals with a customer service, retail, or hospitality background, as well as college students (particularly those studying Political Science, Public Administration, or Business) looking to gain hands-on experience in municipal operations and local government. Key Responsibilities

Front Desk & Reception

Serve as the welcoming, professional first point of contact for all visitors, residents, and vendors upon arrival. Answer, triage, and route incoming phone calls via the central switchboard system. Provide clear directions, general city information, and answers to common resident questions (e.g., trash/recycling pickup, leaf collection, city services). Maintain visitor logs and track public inquiries. Clerical & Administrative Support

Receive, sort, and distribute incoming U.S. mail and package deliveries. Assist with administrative tasks, including processing "Do Not Knock" registry applications and Civil Service application forms. Oversee postage machine usage, tracking, and basic monthly usage logging. Assist with scheduling meeting rooms and coordinating Community Resources Area Housing Council calendars as directed. Facility & Operational Procedures

Assist with basic building opening/locking procedures and monitor facility security. Operate basic video and security systems (onsite training provided). Accept public bid documents and official paperwork according to established city protocols. Qualifications & Requirements

Required:

Education:

High School Diploma or GED equivalent. Experience:

No prior administrative experience required—strong customer service skills and a positive, approachable personality are the top priorities. Core Competencies:

Exceptional verbal and written communication skills. Pleasant, professional demeanor and comfort interacting with the public. Dependable attendance and strong organizational habits.

Technical Skills:

Basic computer literacy (email, web searching, and standard office software). Advanced Excel is not required. Screening:

Successful completion of a pre-employment background check, drug screening, and a valid driver's license. Preferred / Nice-to-Have:

Previous experience in retail, restaurant, hospitality, or receptionist roles. Interest or coursework in Political Science, Public Administration, Business, or related fields. Familiarity with standard office machinery and multi-line phone systems. Work Environment & Details
