Overview The position serves as the Admin III Behavioral Health Administrator, coordinating and supporting behavioral health and chemical dependency programs while managing day‑to‑day administrative functions for a YMCA branch site. The role operates primarily from the Seattle office and provides support to clinical staff across the Y’s 14 branches. The administrator serves as the first point of contact for all individuals engaging with the behavioral health and chemical dependency programs and must excel in multi‑tasking, prioritizing, and organizing while interacting with clients, staff, and visitors. Job Summary This role provides overall coordination and support for behavioral health and chemical dependency programs at the Social Impact Center Y, the social services branch of YMCA of Greater Seattle (YGS). The mission of the Social Impact Center Y is to accelerate young people’s ability to build safe, successful, and happy lives. Each year we serve 5,000 children, youth, young adults, and families across King County with programs that strengthen potential through risk reduction, system navigation, crisis stability, and competency building. Our programs include housing, behavioral health, foster care licensing, violence prevention, education, and employment, serving many youths involved in foster care, the criminal justice system, or homelessness. Compensation & Schedule Hiring range: $22.50–25.00/hr Schedule: Monday‑Friday, 8:30 am–5:00 pm Benefits Membership to the YMCA of Greater Seattle for you and your household Medical, Dental, Vision, and Life insurance Retirement with generous employer contributions Free access to mental health resources Rapidly‑accruing paid time off (PTO) available immediately upon hire Discounts on qualifying YMCA of Greater Seattle childcare and day camp programs Responsibilities Responsible for overall administrative and client support for behavioral health and chemical dependency teams, including greeting and scheduling clients, handling incoming phone calls, records requests, referrals, and paperwork. Verify insurance eligibility and communicate benefit information to clients. Collect service fees, track payments, and monitor accounts for delinquent charges. Track and manage provider NPI numbers and credentialing. Maintain client and personnel records in accordance with regulatory and contract requirements, update and generate reports to notify clinical staff when reviews and renewals are due, and respond to requests for information from clinical staff, government offices, and others. Develop and maintain effective, professional relationships with all clients, families, and staff. Provide overall administrative support to programs and department staff and stay current with program changes. Compile and prepare data/reports on a daily, monthly, quarterly, and yearly basis, identifying and documenting trends to bring forward to leadership. Assist with audit preparation. Maintain relational databases, process paperwork, and maintain related directories and files. May train, coordinate, and/or schedule staff and/or volunteers. Other duties as assigned. Qualifications Two or more years’ experience or training in a medical or behavioral health office. Ability to work independently and within a team approach. Demonstrated experience working with complex data and maintaining databases. Other applicable education, training, and experience that provide the knowledge, abilities, and skills necessary to perform effectively in the position will be considered. Strong professional and organizational skills with attention to detail, timeliness, and follow‑through. Direct experience and proficiency with Microsoft Office Suite and web‑based electronic records. The ability to work well within a fast‑paced, constantly changing environment, responsive to quick turnaround times and able to manage multiple deadlines. Knowledge of and previous experience with diverse populations (language, culture, race, physical ability, sexual orientation, etc.). Personal, professional, educational, volunteer, and non‑traditional experiences are all relevant. We intend to evaluate each candidate’s transferrable skills to determine if a candidate is qualified for a position. Preferred Qualifications Three years or more of client record management or related experience. Prefer experience working with government grants and/or medical records. Knowledge of mental health regulations preferred. Life experience with poverty, child welfare, homelessness, behavioral health, or youth violence and a desire to use that experience to improve the lives of others. Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.). Ability to speak any language in addition to English may be helpful.
