Primary Function:
The Development Assistant provides administrative and operational support to the Senior Resource Association Foundation (SRAF) and Development Department. Under the direct supervision of the Executive Director, this position supports donor stewardship, fundraising initiatives, special events, board administration, grant activities, and departmental operations through a variety of administrative and project support functions.
Principal Responsibilities:
- Provide administrative and clerical support to the Executive Director and members of the Development Department.
- Assist with timely donor stewardship activities, including preparing acknowledgment letters, welcome packets, donor correspondence, mailings, and other recognition materials to support meaningful donor engagement.
- Assist with the preparation and coordination of fundraising campaigns, special events, sponsorship activities, and community engagement initiatives.
- Assist with maintaining donor, prospect, volunteer, and event-related records within Raiser's Edge to support accurate recordkeeping and development activities.
- Provide administrative support for Foundation Board meetings, including, but not limited to, preparing meeting materials, recording meeting minutes, and maintaining official records.
- Assist with prospect research and list development, and data entry to support fundraising and donor cultivation efforts.
- Prepare routine reports, mailing lists, contact lists, spreadsheets, presentations, and other departmental documents as requested.
- Assist with organizing grant files, tracking deadlines, and supporting grant administration activities.
- Maintain organized departmental files, records, and electronic documents.
- Order office and event supplies and assist with general departmental administrative functions.
- Provide administrative support for special projects and initiatives as assigned by the Executive Director.
- Provide reception services for the SRAF office and backup reception coverage at other SRA locations as required, by greeting visitors, answering phones, directing inquiries, and performing general reception duties as needed.
- Maintain confidentiality of donor, volunteer, sponsor, and organizational information.
- Perform other duties as assigned.
Knowledge, Abilities and Skills:
- Strong organizational and administrative skills with excellent attention to detail.
- Excellent verbal and written communication skills with the ability to interact professionally with donors, volunteers, community partners, vendors, staff, and the public.
- Ability to prioritize multiple assignments, manage deadlines, and adapt to changing priorities.
- Ability to work collaboratively as part of a team while exercising initiative, professionalism, and sound judgment under direct supervision.
- Ability to maintain confidentiality and handle sensitive donor and organizational information with discretion.
- Proficiency in Microsoft Office Suite; experience with donor management software, including Raiser’s Edge, is preferred.
- Strong customer service skills and the ability to represent the organization professionally.
- Ability to learn new software applications and administrative processes.
Other Job Characteristics:
- Primarily weekday business hours in an in-office environment; occasional evening or weekend hours may be required to support fundraising events or organizational activities.
- Work is performed primarily in an office environment with occasional attendance at community events and fundraising activities.
- Use of computers, standard office equipment, and event-related materials.
- Ability to lift and transport office or event materials weighing up to 25 pounds.
- Ability to travel locally as needed related to the scope of work.
Education / Experience:
- High school diploma or equivalent required; Associate's degree in Business, Communications, Nonprofit Management, or a related field preferred; equivalent combination of education and experience may be considered.
- Minimum of one (1) year of administrative support, customer service, office administration, or related experience preferred.
- Experience working in a nonprofit or fundraising environment is preferred but not required.
- Valid Florida driver's license is required.
- Must successfully complete Level 2 background screening through Florida’s Care Provider Background Screening Clearinghouse and maintain eligibility with the Department of Elder Affairs (DOEA):
