Title: Administrative Coordinator Department: UNT-College of Information / UNT-Learning Technologies Location: Denton Salary: $40,000+ DOQ Full-Time Equivalent: 1.0 Retirement Eligibility: TRS Eligible Position Overview This position serves the department, demonstrating a customer service philosophy while interacting with students, staff, faculty and other internal and external people, and works towards ensuring a culture of service. Responsibilities for the position include but are not limited to management of the departmental budget and processing and tracking various HR and payroll transactions. This position requires occasional work outside of an 8-5 schedule for planned events. Minimum Qualifications Bachelor's degree and two years of highly responsible and varied office administration or business management experience; or any equivalent combination of education, training, and experience. Knowledge, Skills and Abilities Exceptional customer service skills. Advanced written communication skills. Advanced Microsoft Office skills. Knowledge of accounting/budgeting procedures. Ability to work under pressure, to adjust to constant changes, to handle multiple tasks, and to coordinate the work of others. Ability to keep complex records, to assemble and organize data of complex nature, and to prepare and submit reports in acceptable formats. Ability to conceptualize, plan and organize multiple programs and assignments effectively. Ability to work on complex and confidential tasks utilizing judgment, tact, and resourcefulness. Skill in developing and maintaining good working relationships. Knowledge of policies, practices, procedures and terminology of assigned function. Preferred Qualifications Familiarity with UNT procedures and policies, including PowerBI and EIS. Proficiency in MS Excel. Ability to learn and adapt to new technology. Job Duties Oversees the administrative operations of the department including, but not limited to, conducting annual space survey, placing facilities work orders, processing key authorization requests for department access, and picking up and delivering mail. Manages, processes, and tracks/reconciles day‑today payment authorizations, contracts, and requisitions, including pcard purchases. Oversees accurate and timely completion of purchase requests and travel authorizations and reimbursements. Assists faculty and researchers in maintaining their individual discretionary and research accounts as needed. Oversees and conducts all department finance matters, including timely and accurate account revenue and expenditure transactions, payroll monitoring, and reporting any discrepancies to the Department Chair. Assists in all the paperwork related to departmental hiring process which includes student assistants, visiting scholars, staff and adjunct faculty. Completes job posting related tasks for adjunct and student positions in the department. Responds to student queries regarding employment opportunities in the department. Assists new employees in onboarding procedure, including I9 verification, and issuance of graduate student employment verification. Actively monitors class enrollment status and notifies adjuncts and teaching fellows regarding changes on hiring and payment, as needed. Provides administrative support for faculty and staff, including processing administrative forms (e.g., travel, payroll forms, workload reports, time reports, sick leave requests, etc.) for faculty and staff. Working closely with committees, manages and processes various scholarships for the students in the department, including endowed scholarships, and coordinates payments with the scholarship office. Assists with department and college events, including commencement ceremonies. Physical Requirements Communicating with others to exchange information.
