Inventory Specialist - Heavy Machinery

Location: On-site
Pay: $25–$29 per hour, depending on experience
Employment Type: Full-time

We are seeking a detail-oriented, hands-on Inventory Specialist to support inventory accuracy and daily warehouse operations. This position emphasizes inventory reconciliations, adjustments, movement tracking, and validations—both physically in the warehouse and within the inventory management system.

The ideal candidate can accurately process inventory transactions and vendor invoices while also locating cases, identifying parts, and verifying products on the warehouse floor.

Key Responsibilities

Inventory Management & Reconciliation

• Reconcile physical inventory with system records , investigate discrepancies, and resolve variances.
• Process and validate inventory adjustments, receipts, transfers, returns, and other stock movements according to company procedures.
• Track inventory movement between warehouse locations and confirm that physical movements are accurately reflected in the system.
• Perform cycle counts, physical inventory checks, and location audits.
• Locate cases and identify parts using item numbers, labels, descriptions, and warehouse locations.
• Validate product quantities, part numbers, units of measure, and storage locations.
• Research missing, misplaced, or incorrectly recorded inventory and coordinate corrective action.
• Maintain accurate inventory records and supporting documentation.

Documentation & System Processing

• Register and enter vendor invoices, verifying information against purchase orders, receiving records, and supporting documentation.
• Review packing slips, purchase orders, bills of lading, and receiving documents for accuracy.
• Enter and validate receiving, shipping, transfer, and adjustment transactions in the ERP or inventory management system.
• Prepare inventory reports and document discrepancies, adjustments, and reconciliation results.
• Coordinate with purchasing, accounting, warehouse, and logistics teams to resolve inventory and documentation issues.

Warehouse & Logistics Support

• Verify incoming and outgoing shipments for accuracy and completeness.
• Assist with receiving, labeling, organizing, picking, packing, and staging products.
• Support shipping, loading, unloading, and material handling as needed.
• Operate material-handling equipment as authorized and trained.
• Maintain a clean, organized, and safe warehouse environment.

Qualifications

• Experience in inventory control, receiving, warehouse operations, logistics, or distribution.
• Hands-on experience reconciling physical inventory with system records.
• Experience processing inventory adjustments, validating transactions, and tracking stock movements.
• Ability to locate products and accurately identify cases, parts, item numbers, and quantities.
• Familiarity with ERP, warehouse, or inventory management systems.
• Ability to review vendor invoices, purchase orders, packing slips, and receiving documentation.
• Strong attention to detail, organizational skills, and problem-solving ability.
• Comfortable dividing time between computer-based inventory work and hands-on warehouse tasks.
• Ability to work independently and communicate effectively across departments.
• Reliable attendance and ability to manage multiple priorities.
• Fully Bilingual in English & Spanish

Preferred Qualifications

• Experience with Microsoft Dynamics or a similar ERP platform.
• Experience with vendor invoice entry and validation.
• Experience with cycle counts, inventory audits, and discrepancy resolution.
• Forklift or other material-handling equipment certification.

Physical Requirements

• Ability to stand and walk for extended periods.
• Ability to lift, carry, push, pull, and organize materials as required.
• Ability to work safely in a warehouse environment with varying temperatures and noise levels.
