Records Management Specialist

Job Description

We're looking for a detail-oriented Records Management Specialist to organize, maintain, and ensure the integrity of both physical and digital records. You'll support compliance, accessibility, and secure handling of sensitive documentation across departments - coordinating with vendors, IT, and compliance teams to keep our recordkeeping systems accurate and audit-ready. This is a fully on-site role in Groton, CT.


What you'll do

• Organize, classify, and maintain records in accordance with internal policies and legal requirements
• Retrieve, archive, and dispose of records following established retention schedules
• Conduct audits to ensure accuracy and compliance of recordkeeping systems
• Assist with digitization of physical records and manage electronic filing systems
• Coordinate with CROs, vendors, business development, IT, and compliance teams to ensure secure storage and access

What you need

• High school diploma or GED - associate's or bachelor's degree preferred
• 2-4 years of experience in records management, administrative support, or a related field
• Strong organizational and analytical skills with excellent attention to detail
• Ability to manage confidential information with discretion
• Proficiency in Microsoft Office Suite - Word, Excel, and Outlook
• Strong verbal and written communication skills
• Must be able to work on-site in Groton, CT

Nice to have

• Associate's or bachelor's degree in a related field
• Experience with document control software or records management systems/databases
• Familiarity with records retention schedules and regulatory compliance requirements
